Seasonal Wildlife Sanctuary Banquet/Event Coordinator

Responsible for assisting in the promotion, planning and coordination of various events and rentals at the Wildlife Sanctuary Banquet/Conference Center.

  • Markets, promotes and advertises the rental opportunities for the Dick Resch and family Learning and Conservation Center (DRC), including conferences, banquets, weddings and private events. Serves as the WLS representative at Green Bay Chamber and Convention Bureau events.
  • Prepares marketing plans and materials to promote the facility. Conducts long-range forecasting and reviews trends.
  • Ensures facility is ready for tours, conferences and daily usage.
  • Serves as the primary point of contact for the public regarding inquiries, tours and booking rentals and special events at the DRC.
  • Schedules all event functions; prepares cost proposals. Prepares and oversees the contracts for rentals and events. Recommends rental rates and prepares rate sheets.
  • Coordinates and/or assists with the set-up, take down, and preparation for events and rentals including but not limited to signage, tables, chairs, decorations, IT equipment, caterers kitchen and bar area.
  • Serves as the on-site supervisor and point of contact at each event and rental within the DRC facilities and other events at the Wildlife Sanctuary as needed.
  • Performs general cleaning and event setup modifications before and as needed during the rental event per the renters requirements.
  • Ensures prompt and efficient communication with customers both prior to and during the rentals, while ensuring the highest level of customer service.
  • Ensures that all renters use bartenders and caterers per the City of Green Bay policies.
  • Serves as a liaison with clients and the various vendors including caterers, florists, photographers, bakers, etc.
  • Prepares presentations and conducts facility tours to groups and potential renters.
  • Performs other duties as assigned.
  • High School diploma or equivalent and a minimum of at least 2 years experience in customer service and/or related field.
  • Two years of college coursework in Marketing, Event Management or related field.
  • Valid Drivers license and good driving record.
  • Supervisory and/or leadership experience desirable.

A combination of equivalent experience and/or education may considered.

  • Considerable knowledge of marketing and promotional principles.
  • Skill in preparing and presenting effective presentations and conducting tours for groups or potential renters .
  • Skill in managing and organizing work and multiple projects simultaneously.
  • Ability to prioritize and meet deadlines on a consistent basis.
  • Ability to build and maintain relationships with both external and internal customers and staff.
  • Ability to communicate effectively verbally and in writing.
  • Ability to effectively communicate the Wildlife Sanctuarys mission and purpose.
  • Ability to read, analyze and interpret data and documents.
  • Ability to write a business letter/email.
  • Ability to utilize a computer and the required software.
  • Ability to work autonomously and make independent decisions.

Ability to work the required hours of the position including evening, weekends and holidays

Physical Requirements:

  • Ability to perform the following activities:
    1. Lifting and carrying up to 30 pounds.
    2. Frequent walking, standing, bending, twisting, squatting, crouching, and kneeling.
    3. Occasional sitting, climbing, pushing, and pulling.
    4. Ability to work in varied environmental conditions
