DESCRIPTION
The Floating Receptionist plays a critical role in delivering a consistent, high-quality front desk and guest experience across all reception floors. This position provides flexible coverage for multiple reception areas, adapting to the unique needs of each floor and supporting seamless office operations. While the general schedule is 8:00 AM 5:00 PM, flexibility is required to cover earlier or later shifts as needed to support the business.
This role is ideal for someone who thrives in dynamic environments, is polished and professional, and enjoys being a reliable resource across a larger workplace team.
KEY RESPONSIBILITIES
Reception Coverage Across Floors
- Provide coverage across all reception desks in the office, ensuring continuity of service and a high standard of hospitality.
- Greet and welcome employees, visitors, clients, and vendors with warmth, professionalism, and attentiveness.
- Answer and direct phone calls, emails, and walk-in inquiries promptly and courteously.
- Manage visitor preclearance and entry procedures according to security protocols.
- Maintain the appearance and functionality of each front desk area and surrounding common spaces.
Administrative & Workplace Support
- Assist with scheduling conference rooms and booking office space.
- Communicate with Facilities and IT teams to report and resolve issues (maintenance, AV support, etc.).
- Provide ad hoc support to other teams when required.
QUALIFICATIONS & REQUIREMENTS
3+ years experience in customer-facing, office management, administration, hospitality or facilities coordination role (preferably in a corporate office setting)
Professional appearance and demeanor.
Excellent verbal and written communication skills.
- Ability to adapt quickly and professionally to different workplace environments.
- Comfortable with frequent movement between floors and varied daily assignments.
- Strong organizational skills, reliability, and attention to detail.
- Familiarity with Microsoft Office, and front desk software (e.g., Zoom, Slack, Robin) is a plus.
