Municipal Associate - Receptionist

Responsible for providing excellent customer service by receiving and greeting guests, answering phone calls, and providing needed information. Responsible for administrative duties including assisting with tournament planning and execution, processing of purchase orders, cash management, maintaining club and team membership rosters and reports.

This position is mainly during the day, but the selected candidate will need to be available for nights and weekends as needed for events. This position is a temporary position, approximately 3 to 6 months.This list is not intended to be all-inclusive nor exclusive but is intended to provide examples of typical duties performed.

  • Welcomes on-site visitors, monitors visitor access.
  • Manages use of play and practice facilities on a daily basis.
  • Charges appropriate fees and assists customers with merchandise questions.
  • Answers incoming telephone calls, takes and delivers messages or transfers calls to voice mail when appropriate.
  • Performs clerical duties as needed, such as processing purchase orders, maintenance of membership rosters and reports.
  • Responsible for cash management including counting and balancing cash drawers daily, making daily bank deposits, while following established cash-handling guidelines.
  • Assists with merchandising of the pro shop.
  • Conducts monthly pro shop inventory, researches any variances and gives reports to Head Tennis Professional.
  • Follows established cash handling processes.
  • Conducts basic office duties as needed, composes monthly newsletter.
  • Assists with updating content and maintenance of social media accounts.
  • Contributes to organization success helping others accomplish job results.
  • Trains new employees working at front desk, ensures part-time staff receive information needed for their shift, and ensures part-time staff are scheduled to cover all front desk shifts.
  • Available to work weekends and holidays.
  • Establishes and maintains effective work relationships with others.

Education/Experience:
  • High school diploma or general education degree (GED) required.
  • Prior related experience and/or training; additional level of education preferred.
Certificates and Licenses:
CPR and First Aid certification preferred.

Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several variables in standardized situations.

Computer Skills:
To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software and Inventory software. Supervisory Responsibilities:
This job has no supervisory responsibilities. This position will schedule and train part-time staff sharing club information as needed.
