Responsible for answering incoming calls, directing calls to appropriate personnel, returning calls and addressing questions in a timely manner, scheduling patients following medical practice procedures, greeting and checking in patients for appointments including obtaining any required consents and/or paperwork, scanning insurance cards, entering accurate demographic information into the electronic medical record, collecting and posting payments, scanning outside records into patients chart and working closely with providers, clinical staff and management to maintain efficient daily clinic operations.

Essential Duties & Responsibilities:

  • Greets all patients/visitors with eye contact, a smile and a friendly and helpful attitude
  • Inform patient of any delays, and continue to update if delays continue
  • Schedules appointments in EMR according to practice requirements and provider preferences
  • Document messages in EMR and route to appropriate personnel
  • Prepares end of the day reports and daily deposits.
  • Label and Scan appropriate documents into EMR, according to established guidelines
  • Keeps patients informed on status of appointment regularly
  • Arranges patient appointments and reports for physicians and advanced practice providers. Communicates with clinical staff or providers regarding any patient not able to be worked into the providers schedule.
  • Tracks physicians time off and keeps Clinic Manager informed.
  • Answers incoming telephone calls in a timely matter using proper etiquette at all times.
  • Obtains patient phone messages and documents appropriately in EMR. Routes messages to personnel for follow-up as needed/required
  • Obtains accurate information consistently for insurance and billing purposes to ensure that the practice produces a clean claim.
  • Obtains necessary and enters accurate information in the patient registration and encounter sections of the EMR in order to register new patients. Verifies patients benefit status and collects the patients portion of charges, whether a copayment, percentage, or the entire amount.
  • Verifies patient insurance utilizing Passport system.
  • Collect co-insurance, co-pays, or balances upon patient arrival.
  • Sets up new accounts (patient demographics and insurance information).
  • Scans patient drivers license and Insurance card into electronic medical record while verifying accuracy of information.
  • Obtains electronic consent for treatment at each annual patient visit upon registration and completed pertinent HIPAA and Financial Policy paperwork scans into electronic medical record.
  • Runs daily schedules for following day appointments and as needed in preparation of possible electronic medical record
  • Assists billing staff with insurance follow-up as needed.
  • Balance daily payment posting and prepare deposits according to policy
  • Perform appointment reminder calls according to clinic operations and provider expectations.
  • Works daily automated appointment reminder report(s) to support no-show/last minute cancellation goals of the provider/organization.
  • Completes and submits prior to deadline the month end production recap form in conjunction with Clinic Manager or designee
  • Verifies the patients insurance information to ensure that the practice can see the patient and and their insurance can be billed.
  • Checks the patients financial status at the practice to avoid making routine appointments for patients in collections or dismissed from the practice.
  • Communicates to patients who are making appointment the practices requirements for pre-authorizations, referrals, payment at the time of service.
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions; ensures compliance with Joint Commission and other external and internal regulatory agencies.
  • Maintains the integrity of confidential patient information in accordance with HIPAA and hospital policy, including accessing, using and disclosing patient information relevant to the individual employees job duties. Also maintains confidentiality of other customer and hospital business affairs.
  • Adheres to the standards of Magruder Hospitals corporate compliance policies and seeks guidance and training when necessary to resolve questions about the policies. Reports violations in accordance with corporate compliance and organizational standards.
  • Attendance is an essential function of this position. Reports to work on time and as scheduled; Shows respect for co-workers by following established break times; Keeps personal conversations and telephone calls to a minimum.
  • Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

  • High School Diploma or GED equivalent.
  • Excellent organizational skills.
  • Tact and diplomacy In interpersonal interactions with patients, providers, co-workers and management.
  • Able to work well under pressure.
  • Ability to triage calls with complex and sometimes urgent requests and direct them to the appropriate personnel for assistance.
  • Experience in customer service or reception, preferably in a health care environment.
  • Experience in an appointment scheduling position, preferably in a medical practice setting.
  • Ability to use multi-line phone system, including transferring calls & paging.
  • Adequate hearing to answer phone and speak with patients.
  • Ability to speak clearly and loudly enough to be heard by callers and patients.
  • Skill in communicating effectively with physicians/clinicians about scheduling preferences.
  • Ability to establish and maintain effective working relationships with providers, peers and management.
  • Strong verbal and written communication skills.
