ResponsibilitiesIdeal candidate:

Responsibilities:
• Greeting and welcoming visitors to create a positive first impression.
• Directing visitors appropriately. This often involves notifying the person they are visiting.
• Manage the reception area, ensuring it is always tidy, welcoming, and presentable.
• Issuing visitor badges and maintaining a record of visitors entering and leaving the premises for security and tracking purposes.
• Report any safety concerns or incidents promptly.
• Being vigilant and reporting any unusual or concerning behavior.
• Update and maintain a list of warehouse locations on the company portal
• Update and maintain floor plans
• Report and safety concerns or incidents promptly.
• Assist with first responder initiatives, i.e., fire drills and emergency evacuations.
• Assist with preparing mail when necessary.
• Assist with ordering, stocking and placing office supply orders when necessary.
• Assist with stocking kitchens when necessary.
• Back up to Facilities Manager, assisting with sorting mail, running invoices, facilities requests.
• Be willing to learn new skills and take on additional responsibilities as needed.
• Perform other facilities-related duties and projects as assigned by the Facilities Manager
• Assist others with administrative tasks as needed.
Qualifications:
• High school diploma or equivalent required; and/or previous work-related experience. Associate's degree preferred.
• Proven experience in a receptionist or administrative role is a plus.
• Excellent verbal and written communication skills.
• Professional and courteous demeanor.
• Strong organizational and time-management skills with the ability to multitask effectively.
• Proficiency in basic computer applications (e.g., Microsoft Office Suite: Word, Excel, Outlook).
• Ability to maintain confidentiality and handle sensitive information with discretion.
• A proactive and positive attitude with a strong work ethic.
• Ability to work independently and as part of a team.
• Able to lift and move objects up to 50 lbs, safely.
