Job Summary
The Showroom Support Assistant/Reception is an integral part of the Holly Hunt Showroom. Their responsibilities are to provide a main point of contact for the showroom, answering all calls in the appropriate time frame, along with working closely with the Sales Associates, Clients, Corporate Office, Sample Librarian, Outside Sales Associates and General Manager to ensure clients are being serviced. The Showroom Support Assistant/Receptionist is also responsible for much of the logistics required for the showroom.
Principal Responsibilities but not limited to the following:
Coverage of reception area answering incoming phone calls; assisting with phone inquiries and directing calls to the appropriate staff members. Outreach and follow up messaging to team is extremely important.
Responsible for general duties to prepare office for the beginning and close of work day. Maintain and order office supplies. Keep office tidy and organized at all times.
Electronic deposit checks daily, keep records for showroom.
Create Direct Orders/Quotes as instructed by Sales Associate or GMs along with basic Textile reserves/quotes for clients.
Provide tracking updates, pricing and stock information to clients.
Assist with New Client Registrations & updating Client Lists for Sales Associates; Collect & update Resale form to turn into corporate; Send updated resale information to accounting.
Maintain sales tools (tear sheets, catalogs, finish samples, ringsets, memos samples etc) on sales floor & libraries and order when needed.
Assist with sample room inventory; order samples and keep all inventory levels current.
Assist sales staff by gathering tear sheets and memo samples
Open mail, receive faxes, and disperse to appropriate personnel
Assist the General Manager, Showroom, and Outside Sales Team with e-blasts; showroom marketing BlueCore program; client mailers; event planning; catering details; running reports, preparing road kits; and specific client library needs etc
Maintain Trade Resource Guide on Shared Drive and other important files.
Assist GM and Outside Sales Team with Sales Reports; weekly; monthly; quarterly; year-end and making sure Kitchen is updated with Goal Board & Marketing Details
Create pricing labels for textiles wings updates.
Prepare client gifts and assemble gifts bags for events.
Handwriting client notes with GM and Sales Team direction
Acknowledge every client that comes into the showroom.
Be a team player.
Education: Bachelor degree or equivalent work experience
Experience: 1-2 years working in a retail, design, or showroom environment
Skills:
Ability to multitask / Self Starter / Takes Initiative
Excellent communication skills both written and verbal
Proficient in Microsoft Word/Excel/Outlook
Some lifting (20-50 lbs max)
