The Business Continuity and Travel Coordinator will collaborate closely with the Director of Business Continuity, Travel and Special Projects to oversee and execute the firms Disaster Recovery/Business Continuity Plans.Along with the Director, the Business Continuity and Travel Coordinator will be responsible for coordinating and implementing comprehensive Disaster Recovery plans to ensure support of critical business needs in the event of an emergency or disaster. Working within a global organization, the Director and Coordinator will assess risks, design recovery strategies, and collaborate with various office and functional teams to ensure the organization is prepared to handle any unforeseen disruptions.
This position will also assist with day-to-day running of the Travel Department, including our on-line booking site and various other travel projects (annual corporate hotel list, participation in weekly calls with the firms travel manager at Lawyers Travel, etc.) and assist as needed with special projects for the firm.
KEY RESPONSIBILITIES
Work with Office Leads to update and maintain Disaster Recovery/Business Continuity Plan for all firm offices; update annually
Assist with the development of the annual tabletop exercises for all firm offices, including managing the action items lists
Work with Office Leads and functional leaders to react to and assist with any type of crisis (inclement weather, critical life safety, etc.) and coordinate firm or office support and response thereto
Manage the K&S Preparedness Portal. Conduct a monthly audit of employees who have not registered and follow up with the Office Leads to ensure compliance
Upkeep of the Crisis Leader Teams page and monthly CMT contact lists
Monitor the completion rate of the annual certification for all Crisis Managers on the Preparis Site
Work with Office Leads to maintain the Crisis Manager list for all offices
Monitor news and weather for potential issues
Respond to emergencies (medical and other life safety issues) for the Atlanta office
Participate in the Annual Emergency Evacuation Drill for the Atlanta office
Maintain the Employees with Limited Abilities List for 1180 Building Management in Atlanta
Collaborate with firms Travel Manager to update and maintain the annual firm Hotel Program List, including the hotel spreadsheet on the intranet travel page
Maintain the travel pages on the intranet
Collaborate with firms Travel Manager on day-to-day issues
Participate in weekly calls with the firms Travel Manager
QUALIFICATIONS:
College degree required. Legal background, and/ or travel background helpful.
Effective communication and writing skills are required, along with the ability to maintain strict confidentiality, professionalism, and diplomacy.
Ability to maintain effective working relationships with all firm personnel.
OTHER:
Must be able to work independently and beyond normal work hours as needed to complete time sensitive projects. Position is subject to situations involving elevated levels of stress.
