Who are we looking for?
We are currently seeking a Medical Receptionist who will be responsible for providing administrative support to patients before and after their appointments. Responsibilities include greeting patients, scheduling appointments, processing paperwork, and maintaining patient records. Following successful completion of the initial training period, the Medical Receptionist I will demonstrate a working knowledge of how to review Food Dosing Plans and a strong understanding of the check-out and administrative processes.
Duties and Responsibilities:
Check-Out:
- Greet patients and their families as they finish their appointment, ensuring questions are answered or escalated appropriately.
- Complete the checkout process by scheduling follow up visits and closing visit encounters and claims.
- Review Food Dosing Plans to determine appointment types and days needed for next appointments.
- Provide comment cards and instructions on providing feedback during check-out process, escalating concerns as needed.
- Verify any changes to patient demographics, update insurances each visit, and ensure information is uploaded appropriately to the Electronic Medical Record (EMR).
- Assist with billing processes, such as collecting and processing payments within multiple platforms.
Compliance:
- Document patient interactions accurately.
- Ensure accuracy and completeness of patient records, update information as needed, and adhere to patient confidentiality protocols.
- Complete and maintain front-office skills and performance competencies.
- Complete assigned annual training.
- Follow established healthcare laws, regulations, and safety protocols.
- Adhere to infection control practices and maintain a clean working environment.
Administrative Tasks and Communication:
- Ensure the workspace is cleaned, stocked, and ready to welcome each patient.
- Provide excellent customer service through effective communication and collaboration with all patients, visitors, and employees.
- Address patient concerns and resolve issues in a timely, professional manner and escalate if necessary.
- Prep for the following day's patients.
- Complete appointment confirmation calls and emails within required timeframe
- Follow up on ordered tests and procedures, communicating with ordering physician as necessary.
- Create EMR records, initiate Intake Q review, and follow up on appointment scheduling as needed for new patients.
- Schedule and reschedule patients for nursing visits and follow up appointments as needed.
- Complete Forms & Letters.
- Complete Food Pantry Orders and document sales.
- Complete supply order requests as needed.
- Assist with projects as assigned - Complexity Level 1 (Ex: updating appointment types from general food challenges to specific appointment types).
- Provide coverage for local clinics as needed.
- Other duties as assigned.
Qualifications:
- 0 - 1 years Medical Receptionist experience.
- Previous experience using an EMR preferred.
- Team mentality and positive working attitude.
- Customer service experience.
- Strong verbal/written communication skills.
- Ability to work in a fast-paced environment that requires strong multi-tasking skills.
- Excellent organizational skills and attention to detail.
- MS Office Suite or Google Suite experience preferred.
