Job Description


The Front Desk Representative will be responsible for managing visitor access, receiving and directing deliveries, and providing general administrative support. This role plays a critical part in maintaining security, efficiency, and professionalism within our facility.

Key Responsibilities

Visitor & Security Management

  • Serve as the first point of contact, greeting visitors and ensuring proper sign-in procedures.
  • Direct vendors and guests to the appropriate personnel and ensure they remain in designated areas.
  • Monitor foot traffic to support food safety protocols and security measures.

Mail & Package Handling

  • Receive and distribute incoming mail, FedEx, UPS, and other deliveries.
  • Manage outgoing shipments, including creating FedEx labels and coordinating sample dispatch.
  • Ensure delivery trucks are properly routed to the correct contact.

Administrative Support

  • Manage conference room schedules and ensure rooms are clean and stocked with supplies (coffee, water, snacks, etc.).
  • Assist with office supply management and procurement.
  • Support meeting preparation, including ordering lunches and setting up conference spaces.
  • Assist with booking travel and provide additional administrative support as needed.

Qualifications & Skills

  • Prior experience in front desk, administrative support, or a customer-facing role preferred.
  • Strong communication and interpersonal skills.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Communicate effectively with internal teams and external stakeholders to ensure timely flow of information.
  • Prioritize and manage multiple projects simultaneously, adapting to shifting deadlines.
  • Maintain confidentiality and demonstrate discretion in handling sensitive information.
  • Assist in organizing meetings and company events with a high level of attention to detail.
  • Bilingual (English/Spanish) is a plus!
