GENERAL DESCRIPTION OF POSITION

This position is the first point of contact for visitors to the building, parents, staff, and co-workers and is responsible for maintaining all SPED eSchool data entry and reporting for Bentonville Schools.

ESSENTIAL DUTIES AND RESPONSIBILITES

To act as the first point of contact for the building by welcoming visitors, answering incoming telephone lines and email inquiries, taking messages and informing necessary parties

Track and maintain school age data entry for special education students district wide.

Provide APSCN support to all SPED staff.

Assist with running cycle reports.

Provide assistance by requesting or sending records as needed for 504 and Special Education students.

Enter and track referral data district wide.

Send and Receive records/ adds and drops throughout the year.

Assist Lead Facilitators, Psychological Examiners and Registrars and Coordinators.

Assist with Building/Caseload lists to ensure accurate data has been entered into eSchool for reporting purposes.

Assist with Pre-Kindergarten data entry.

Monitor a log book and receive daily contacts from the Coordinators and district personnel that work out of the SSC of their whereabouts and/or needs. Enforce entering into a shared Google Calendar.

Schedule, setup, and attend required meetings pertaining to Special Services staff meetings and any other assigned by the Director of Special Services.

Maintain and schedule the training rooms for the Student Services building.

Prepare sign-in sheets for meetings and other training materials as requested

Receive, sort and distribute all packages, deliveries, and mail and assist with co-workers that also help with mail distribution.

Schedule and set up interviews for staffing for the upcoming year for Director of Special Services and Coordinators. Set appointment time, make copies of the applications/resumes, and other preparation needed for the interview team.

Ensure that the reception area is kept tidy and that noticeboards are kept up-to-date.

Assist with various administrative tasks and duties, utilizing word, excel, google, and other school database programs. (training will be provided)

Must perform clerical work and provide office support to coworkers and superiors as required and assigned.

Willingness to participate and cross train with other positions in the Special Services support staff will be required.

Perform any other related duties as assigned.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed above are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

High School or equivalent, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, office equipment operation, etc., plus 12 to 18 months related experience and/or training. An equivalent combination of education and/or experience may be accepted in place of on the job education.

COMMUNICATION SKILLS

Ability to effectively communicate information and respond to questions in person-to-person, via the phone, and small group situations with customers, clients, general public, and other employees of the organization. The receptionist should be welcoming, personable, helpful and able to represent Special Services in a professional and friendly manner. In addition, it is essential that the person for this role is organized, able to multitask, work flexibly and have a can do' approach to work, as no two days are the same.

USE OF MACHINES, EQUIPMENT AN/OR COMUTERS

Regular use of complex machines and equipment (desktop/laptop computer and software, copy/fax machine, printer, multi-line phone system, shredder, etc.). Basic troubleshooting of projectors and their connection to computers may be required at times in the training rooms.

SOFTWARE SKILLS REQUIRED

Experience and knowledge with Microsoft Office Suite and/or Google Suite (including Gmail, Drive, Docs, Sheets and Slides) is required. Familiarity with eSchool, SEAS, other student information systems, or management systems is not required, but is a plus.
