JOB GOAL: To provide effective public relations to the public and staff by the prompt and courteous handling of all phone inquiries and visitors and timely social media and websites post. This position is also responsible for providing clerical support to all central office departments.
REPORTS TO: Superintendent
QUALIFICATIONS/REQUIREMENTS:
- High school diploma or equivalent.
- Considerable knowledge of business English, spelling, mathematics, and office practices.
- Ability to work well with the public and others, both in person and over the phone.
- General computer and office machine proficiency.
- Intermediate-level experience in developing and managing content for the district's social media platforms and websites.
- Intermediate-level experience with basic webpage layouts using template customization. Able to customize themes, integrate plugins, and manage content on the district website.
- Assist with the creation, design and implementation and maintenance of the Berrien County Schools Data Dashboard.
- Physical demands - must be able to sit the majority of the day: lift and carry twenty (20) to thirty (30) pounds infrequently. Job requires some bending and stooping.
JOB DUTIES:
- Greet all visitors, determine their needs, and direct them to the appropriate person(s).
- Maintain a professional atmosphere in the main office.
- Maintain a positive system-wide social media presence using all viable outlets including social media.
- Develop and manage content for the district's social media platforms and websites, ensuring that relevant school system initiatives are effectively communicated in real time.
- Operate a multi-line telephone system; take messages; relays calls to appropriate personnel.
- Maintain an attractive and comfortable reception area.
- Assists Superintendent with administrative tasks
- Perform clerical tasks such organizing conference and boardroom bookings.
- Enter all new employees and substitutes into AESOP and iDrive.
- Assists school bookkeepers and substitutes with AESOP questions.
- Inputs monthly recurring purchase orders into K-Purchase for accounts payable and maintenance.
- Maintain credit cards for employee checkout.
- Responsible for the handling of Out-Of-Town Transfer Request Forms
- Process receipts for deposits weekly.
- Input maintenance & technology requests.
- Order office supplies when needed.
- Send office kitchen supplies to each school when it is their turn to replenish.
- Maintain and disseminate appropriate documentation for school board meetings. Includes working with school board members to establish a continuous flow of information between the central office and board members.
- Keep letterhead printed for central office.
- Assist the appropriate personnel with the development and maintenance of school system Safety Management Plan or other plans as needed.
- Attend approved training sessions, staff development activities, and required meetings.
- Perform other duties as assigned by supervisor or superintendent.
TERMS OF EMPLOYMENT: Position works 230 days.
EVALUATION: Performance is evaluated in accordance with the personnel policy on classified evaluations.
