Position Summary:
Answer phones and pleasantly greet visitors as they enter the building. (this is the primary role)
Ensure that all conference rooms are clean and presentable first thing every morning.
Receive and code all invoices to be sent to accounts payable for payment.
Provides general administrative support to ensure a safe and orderly work environment for the site(s)
Assist Facilities Management with all requests.
Occasionally assist Mailroom Porter with sorting and distribution of incoming packages and deliveries
Trouble shoot and contact building management should any issues arise with building safety, cleanliness, or security.
Maintain an upbeat, positive, and motivated demeanor, especially when interacting with HGV Team Members, co-workers, and leadership.
Acts as the liaison to the Facilities Manager for facility repairs, general maintenance, and janitorial services
Required Qualifications:
- Three years experience as a Receptionist or hotel or resort, Administrative Assistant experience preferred.
- Excellent written, verbal and organizational skills
- Ability to deal with multiple tasks and work independently.
- Proficient in Microsoft Office program, specifically Outlook and Excel.
- Strong sense of urgency, good follow-through and excellent internal customer focus
- Ability to work in a team environment and interact with all levels of team members within the organization.
- Ability to lift a minimum of 25 pounds.
- High school Diploma / GED
