Job Overview

The Corporate Receptionist serves as the first point of contact for our organization, providing professional front-desk support and creating a welcoming environment for all who enter our doors. This position would require upholding the security policy of the organization by requiring staff to badge themselves in or notify Risk when someone does not have a badge. This position will assist vendors, visitors, new candidates and new employees by contacting the appropriate employee when they arrive. The receptionist will be able to accept small packages and envelopes while directing all other deliveries to their appropriate location. This position will maintain communication with the Mail Room Coordinator or Facilities Operational Support. The receptionist will assist with small celebrations, decorating the front lobby, and other small event related tasks assigned by the Event Coordinator. The receptionist will work in conjunction with the rest of the Facilities & Property Management Department by reporting any issues. This role will also assist multiple departments with administrative work and clerical tasks as time allows.

Responsibilities

· Will report to the Corporate Events & Operations Manager within the Facilities & Property Management Department.

· Will welcome guests, clients, vendors, employees, or members in a friendly and professional manner.

· Will work with the Corporate Events & Operations Manager to maintain the appearance of the lobby and entrance, including holiday or celebration decorating.

· Will assist the Corporate Events & Operations Manager with internal celebrations (set up, decorating, break down, etc.)

· Will assist with vendors and visitors by contacting the appropriate employee when they arrive

· Will assist new candidates or new employees when arriving for interviews or training.

· Will monitor visitor access by ensuring that all visitors have a Citadel employee escort before passing beyond the lobby area.

· Addressing inquiries, providing information, and resolving basic issues for people that enter the building.

· Will be responsible for accepting small packages and envelopes in the reception/lobby area.

· Will be responsible for directing other delivered items (large boxes, supply orders, laundry, etc.) to go to the garage area for delivery through the Mail Room Coordinator.

· Responsible for maintaining communication with the Mail Room Coordinator regarding front door deliveries or deliveries being directed to the garage from the front.

· Will work in conjunction with the Facilities & Property Management Department by reporting any maintenance issues.

· Responsible for assisting with supplies as needed (unpacking, organizing, inventory, etc.)

· Will handle the communication and distribution of deliveries (flowers, catering, overnight delivery envelopes, etc.)

· Assisting with any clerical tasks as needed.

· Assisting the Executive Assistant as needed.

· Maintain security and confidentiality.

· Will assist with internal communications for service work being performed.

· Will represent Citadel in a professional manner.

· Responsible for maintaining a work area that is clean and free of clutter.

· Will ensure the front desk and lobby area are presentable and tidy.

· Assists all departments & leadership as needed.

Qualifications and Education Requirements

· 1+ years of related experience

· HS Diploma or equivalent

· Familiar with MS Office (Outlook, Word, Excel)

· Capable of navigating the internet and utilizing web forms to place orders.

· Good verbal and written communication skills

· Strong interpersonal skills with a professional and friendly demeanor

· Ability to multitask and manage time effectively

· Ability to stay organized while supporting multiple projects or requests simultaneously.

Additional Skills/Notes

· Valid driver’s license

· Small event planning

· Ability to lift heavy objects

Performance is based on the corporate scorecard and departmental goals.

Work Environment

While performing duties of this job, the employee regularly works near moving mechanical parts. The employee occasionally works in high, precarious places and is occasionally exposed to extreme heat and risk of electrical shock. The employee occasionally works in outside weather conditions and is occasionally exposed to wet and/or humid conditions, fumes, or airborne particles, toxic or caustic chemicals, extreme cold, and vibration. The noise level in the work environment is usually moderate but occasionally loud. Any necessary accommodations will be provided.

The physical demands and work environment characteristics described herein are representative of those that must be met by an employee to successfully perform the essential functions of this position. The employee will regularly lift and/or move heavy objects. The employee will be required to deliver items to all departments throughout the three level corporate headquarters and at times deliver or pick up various items at various other facilities. Mobility between buildings, climbing stairs and ladders are essential. The employee will regularly bend, stoop, and stand for long periods of time; talk; hear; use hands to finger, handle, or feel; and reach with hands and arms. The employee will occasionally sit. Special vision requirements include close vision and the ability to adjust focus.
