St. Catherine University invites applications full-time Office and Event Coordinator position within the Center for Spirituality and Social Justice (CSSJ). The Office and Event Coordinator (The Coordinator) most broadly serves students, faculty, staff and visitors with an initial contact that is hospitable and welcoming presence, providing assistance with services of CSSJ. The Coordinator provides office and program support to the Director, the Liturgist, Program Minister, partner Chaplains, and the part-time Priest Sacramental Minister.

The person in this position provides communication between department staff and students and is a hub of both resources and information for the campus community. The Coordinator manages the office, keeps and updates departmental files and records, manages the scheduling and coordination of events in the Center and in Our Lady of Victory Chapel (the Chapel), including Chapel tours, in collaboration with University Events Services. The Coordinator supervises events, hires and trains student chapel assistants for all Chapel events.

The Coordinator assists with the financial Food Shelf coordination, working with the Second Harvest Food Bank, The Food Group, and manages financial and food donation documentation.

The Coordinator maintains current information for all department and program calendars, contacts, staff and students contact information, schedules and distribution lists and is responsible for maintaining the departmental website, including the monthly interfaith calendar. The Coordinator is responsible for maintaining department financial records, including reconciling departmental accounts and initiating payments.

The Office Coordinator works directly the Liturgist and University Event Services to assist Parish and Archdiocesan staff, and other clients regarding the use and scheduling of the Chapel.

Responsibilities Include:

Coordination of Chapel events and student wedding/special event assistants:

Working in partnership with University Events to schedule and implement weddings, funerals and all University events appropriate to Our Lady of Victory Chapel. Maintaining wedding records and correspondence, communication with brides, the Church of Nativity of Our Lord, the Archdiocese, and special events staff.

Hiring and training student event staff. Supervising student assistants when they provide office support.

General office administration:

Hospitality, mail, email correspondence, phones, coordination of the Food Shelf financial activities, ordering and procuring supplies, filing records, providing hospitality to walk-in inquiries, chapel laundry, general CSSJ Office/space management.

Financial Maintenance:

In collaboration with the CSSJ Director, financial data management for CSSJ. Preparing and recording financial data, check requests, compiling receipts, reconciling their credit card statements for use to PCard and recording and submitting weekly chapel collection. Beginning Accounts Payable processes for payment of invoices.

Public relation/ people skills, verbal and written communication skills, problem solving, ability to manage and order resources, basic accounting skills, computer skills in Word, Excel, Publisher, Canva, Google Docs, Event Management Systems (EMS), Asana, Meta Business Suite, and website management, office management, multi-tasking, coordinating and scheduling skills.
