Admission and Financial Aid Receptionist & Operations Specialist

The Davidson College Office of Admission and Financial Aid is seeking a professional, organized, and welcoming individual to serve as the Admission and Financial Aid Receptionist & Operations Specialist. As the first point of contact for prospective students and their families, this role is essential to ensuring an exceptional visitor experience and smooth daily operations within the office.

Position Summary

The Receptionist will primarily manage the visitor lobby of the Admission and Financial Aid Office. This includes greeting visitors, responding to inquiries (in-person, phone, and email), and providing information about Davidson College and the surrounding area. The role also includes coordinating visit logistics, supporting major campus events, preparing materials, and maintaining accurate visitor records. This position requires a strong customer service orientation, attention to detail, and comfort with technology platforms.

Essential Job Functions

  • Serve as the primary point of contact for visitors, monitoring inquiries across phone, email, chat, and in-person channels and ensuring timely responses, providing guidance on admissions & campus events.
  • Prepare materials and maintain accurate records for all visitors.
  • Assist with coordination of daily campus visits and school group visits, including tour guide scheduling and visitor logistics.
  • Monitor event pages in Slate Technolutions CRM; maintain familiarity with Slate Technolutions functionality.
  • Support planning and execution of major events, such as Open Houses and Admitted Student Days.
  • Participate in campus event planning meetings to align with broader college activities.
  • Process and manage incoming application materials, test scores, transcripts, and other supporting documents.
  • Maintain and ensure the accuracy and integrity of applicant records in the Slate Technolutions CRM system.
  • Provide additional administrative and project support as needed.

Required Qualifications

  • High school diploma or equivalent.
  • At least two (2) years of experience in an administrative assistant, secretary, or receptionist role.
  • Basic proficiency with technology systems (particularly spreadsheets and calendar applications)
  • Willingness to learn additional software such as Slate Technolutions, Google Suite, EMS Booking and other technology applications.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask and balance competing priorities.
  • Friendly, professional demeanor with inclusive customer service skills.

Preferred Qualifications

  • Experience with CRM systems, particularly Slate Technolutions.
  • Two (2) years of experience in customer-facing roles, visitor services, or higher education admissions.
  • Demonstrated ability to work independently and manage detailed event schedules.
  • Willingness to work occasional non-traditional hours.
  • Comfort interacting with diverse individuals and groups at all levels of the college community.
