Job Summary:

The Office Assistant is responsible for diverse duties which support the Office Operations department in the Los Angeles office, including handling and dispatching for all classes of mail and packages, routing, and pick-up and delivery activities of mail operations and other assignments such as typing, scanning, and photocopy, assembly, reception coverage, & office cleaning.

Supervisory Responsibilities:

Duties/Responsibilities:

  • Work with the Office Administrator to ensure reception coverage during lunch breaks and as needed for meetings and projects.
  • Send, receive, sort, and distribute mail and packages throughout the firm.
  • Arrange deliveries with companies such as FedEx, UPS, and USPS.
  • Ensure proper labeling and packing for outgoing mail.
  • Fill out and track certified mail and receipts.
  • Post mail, drop off at the Post Office, and pick up mail as needed.
  • Keep an inventory of mailing supplies, stationery, ink toners and postage.
  • Order and stock supplies for the mail room, supply cabinets, and conference rooms.
  • Order and stock vendor supplies for the kitchen and break rooms.
  • Shred documents as needed and coordinate weekly shredding vendor pickup.
  • Manage photocopying, assembly, and ensure scanning to GoFileRoom.
  • Handle cleaning around the firm suites including kitchen, copy room, conference rooms and breakrooms.
  • Assist with printer jams, paper and toner restock and incoming faxes.
  • Coordinate labels for boxes to and from offsite and internal storage.
  • Engage in light typing.
  • Make photocopies; mail, scan, and email documents; and perform other clerical functions.
  • Perform other related duties and projects as assigned.

Education and Experience:

Required:

  • High School Diploma/GED required.
  • Two+ years of experience doing mailroom, clerical and maintenance duties required.

Preferred:

  • 1-2 years of reception experience in a fast-paced, high volume environment.

Required Skills/ Abilities:

  • Basic computer proficiency.
  • Excellent organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficient with Microsoft Office Suite or similar software.
  • Excellent customer service-oriented attitude; the ability to communicate with all levels of employees, couriers and vendors.
  • Possess a valid Driver's License.

Physical Requirements:

  • Must be able to lift up to 15-20 pounds at a time.
  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to perform cleaning duties, including but not limited to sweeping, mopping, dusting, and wiping down surfaces to maintain a clean office environment.
  • Standing, walking, and being on your feet for at least 50% of the workday.
  • Traveling to post office as needed.
