Job description
HireArt is helping Toyota Research Institute find an energetic, friendly and ambitious Receptionist to handle multiple administrative and customer service related responsibilities.
In this role, you serve as both the brand ambassador and the first point of contact for visitors.
The ideal candidate has at least 2 years of administrative experience, with prior receptionist experience being a strong asset.
We're looking for someone who demonstrates outstanding customer service abilities and maintains an enthusiastic, positive and professional demeanor.
As a Receptionist, you will:
Work cross-functionally with the office manager and other departments to align on upcoming events, special visitors, and/or special projects.
Greet and check in guests and assure they are taken care of in a timely manner.
Partner closely with security to ensure visitors are checked in with proper identification, visitor badges, and have signed non-disclosure agreements, etc.
Maintain and organize the front reception area.
Provide calendar management for conference rooms and staff.
Assist with tracking invoices, receipts, expenses, purchase orders, and various accounting duties.
Drive improvements or find creative solutions for inefficiencies in the lobby/front desk area.
Responsible for placing orders of all office and food/beverage supplies as replenishment is needed
Maintain various platforms (i.e., service tickets, email triage, etc.).
Help prepare weekly reports and other departmental projects/duties as assigned.
Requirements
2+ years of administrative experience
Computer skills (i.e., G-Suite)
Exceptional customer service skills, over the phone and in person, with guests and internal departments
A strong sense of urgency and problem-solving skills
An upbeat, energetic, positive, mature, and professional attitude
The ability to multitask in a fast-paced environment
Excellent attention to detail and accuracy
Ability to work well under pressure and with a diverse range of personalities
Excellent verbal and written communication skills
Ability to lift up to 20 lbs
