Become a part of our Warehouse Team team at one of ourlocations inBaytown, Texas. For the next possible date we are lookingfor you fulltime (40h/week) as the Warehouse Receptionist/Administrator!

The Warehouse Receptionist / Administratoris responsible for providing administrative support to the warehouse operationsteam while also serving as the first point of contact for visitors and callers.This dual-role position ensures the smooth flow of warehouse documentation,inventory records, and front-desk activities with a focus on professionalism,accuracy, and efficiency.

Supervisory Responsibilities:

This position does not supervise staff but workscross-functionally with internal teams, clients, and external vendors.

Essential Responsibilities:

Reception Duties:

  • Greet and direct all visitors, vendors, and drivers in a professional and courteous manner.
  • Answer and route incoming calls promptly, taking messages as needed.
  • Maintain a clean and organized front desk and reception area.
  • Receive, sort, and distribute incoming mail and packages.
  • Monitor and manage visitor logs and ensure all guests comply with safety procedures.

Administrative Duties:

  • Perform data entry of warehouse documents including shipment receipts, inventory adjustments, and order processing.
  • Maintain and update shipping, receiving, and inventory control logs.
  • Assist with generating shipping labels, bills of lading, and other required paperwork.
  • Coordinate office supply orders and maintain stock of administrative materials.
  • Support warehouse team with filing, reporting, and recordkeeping tasks.
  • Coordinate office administrative tasks such as setting up workstations, organizing storage areas, and preparing office layouts.
  • Order and maintain stock of office and warehouse supplies including furniture, cleaning materials, and general inventory needs.
  • Assist in the initial setup and coordination of the warehouse office environment, including arranging IT support and office equipment.
  • Liaise with vendors and service providers for facility-related needs or repairs.

Warehouse Coordination:

  • Communicate with carriers, vendors, and internal departments to confirm deliveries and shipments.
  • Schedule dock appointments for incoming and outgoing freight.
  • Monitor inventory and assist with cycle counts and reconciliation as needed.
  • Help track and resolve discrepancies in shipping or receiving documentation.

Minimum Education Qualifications:

High School diploma or GED and at least 23 years of relevant freight forwarding experience. Experience across sea, air, and road transportation logistics preferred.

Knowledge, Skills and Abilities Preferred:

  • Excellent communication and organizational skills.
  • Attention to detail and ability to prioritize.
  • Strong team player with a proactive mindset.
  • Computer literacy with Microsoft Office and logistics systems.
  • Customer-focused and performance-driven.
  • Knowledge of compliance and freight forwarding best practices.
  • Bilingual (Spanish) preferred
  • Available to work weekends as needed
