Greater Hartford Academy of the Arts Full Day is seeking a part-time Events Coordinator to play a crucial role in planning, organizing, and executing a wide range of school events, performances, exhibitions, and activities. This dynamic role requires a collaborative, creative and detail-oriented individual who can effectively manage the logistics and coordination of events that showcase our students' talents and creativity.
Essential Functions: As an Events Coordinator, your responsibilities will include:
Event Planning:
- Collaborate with school administration, faculty, and students to conceptualize and plan events that align with the school's artistic and educational goals.
- Work closely with the arts team to refine current school wide showcases.
- Other events that will require oversight: school dances, cultural celebration events, recruitment events and other community events.
- Develop comprehensive event timelines, and action plans to ensure safe and successful events.
- Secure necessary permissions for events.
- Coordinate event logistics, including venue selection, set-up, voluntary staff/chaperones, decoration, and breakdown.
- Oversee technical requirements such as lighting, sound, and stage design.
- Ensure the availability of necessary equipment, materials, and supplies for each event.
- Notify all stakeholders of event needs (i.e., custodial staff, security, administration, students, parents etc.).
- Identify, and manage relationships with event vendors, including catering, workshop artists, guest speakers, audiovisual, and entertainment providers.
- Liaise with student performers, artists, and participants to ensure their needs and requirements are met.
- Develop marketing strategies to promote school events within the school community and to external audiences.
- Create promotional materials such as flyers, posters, and social media content.
- Provide excellent guest service to attendees, including answering inquiries, managing ticketing, and ensuring a positive event experience.
- Address and resolve any issues or concerns that may arise during events.
- Conduct post-event evaluations to assess the success of each event and identify areas for improvement.
- Gather feedback from attendees and stakeholders.
- Bachelor's degree in Event Management, Arts Administration, or a related field (preferred).
- Proven experience in event planning and coordination, particularly in the arts or education sector.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and communication skills.
- Creative problem-solving abilities.
- Ability to use computer network systems and software applications as needed.
- Ability to work flexible hours, including evenings and weekends, to accommodate event schedules.
- A passion for the arts and a commitment to fostering a creative and supportive environment for students.
- Motor Vehicle Operators License or ability to provide own transportation to school site.
Work Schedule, Sept-June:
Monday - Friday, 20 hours a week in addition to some evenings and weekends.
