The Sales & Event Coordinator is a key member of the club’s leadership team, responsible for driving private-event revenue and delivering exceptional guest experiences. From the first inquiry to the final invoice, this role sells, plans, and flawlessly executes weddings, banquets, corporate meetings, social gatherings, and member activities while upholding the club’s service standards.

Qualifications & Competencies

Demonstrated success in selling, planning, and executing a variety of events

Polished verbal and written skills; professional presence and mature demeanor

  • Organization & detail:

Highly organized, efficient, and able to manage multiple deadlines concurrently

  • Relationship building:

Exceptional interpersonal skills with members, guests, vendors, and colleagues

  • Technical proficiency:

Comfortable with CRM/sales-automation platforms (e.g., Salesforce) and Microsoft Word, Excel, Outlook, and PowerPoint

  • Education:

Bachelor’s degree in Hospitality, Business, or related field preferred (not required)

  • Schedule flexibility:

Available nights, weekends, and holidays as event volume dictates

  • Work ethic:

Self-starter with reliable, punctual attendance

Key Responsibilities Sales & Client Relations
  • Conduct property tours, craft proposals, negotiate contracts, and secure deposits/final payments.
  • Establish pricing in partnership with the Food & Beverage Manager.
  • Cultivate and maintain preferred-vendor relationships (e.g., florists, DJs, photographers).
  • Maintain accurate records in the CRM and issue timely Banquet Event Orders (BEOs).
Event Planning & Logistics
  • Partner with clients to design every event element: menus, décor, entertainment, floorplans, timelines, and A/V.
  • Forecast attendance, revenue, and labor needs; assist with monthly banquet/outing projections.
  • Coordinate internal departments and external vendors to ensure seamless setup, service, and breakdown.
  • Inspect event spaces before, during, and after functions to verify adherence to club standards and expedite turnovers.
Operational Excellence
  • Develop, implement, and monitor SOPs that elevate service consistency and efficiency.
  • Evaluate guest feedback and operational results; recommend enhancements to products, services, or procedures.
  • Provide creative input and execution support for club-generated social events and member programming.
  • Perform additional tasks as assigned by the General Manager or Food & Beverage Manager.
Working Conditions
  • Prolonged standing/walking (6–10 hours per shift) with frequent bending and reaching.
  • Ability to lift and carry up to 50 lbs.
  • Regular use of hands, arms, and vision (close, distance, color, peripheral, depth perception).
  • Moderate noise environment; extended hours required during peak golf and holiday seasons.
  • Weekend and holiday availability is essential.
