Join us as a Sr. Office Concierge
Brown Brothers Harriman is currently recruiting Sr. Office Concierge to join our Enterprise Services Team. In this role you will perform high-level specialized enterprise services duties on a daily basis. S/He is a subject matter specialist typically dealing with moderately complex issues as they relate to his/her area of focus. S/He is responsible for providing superior client service and being the voice and face of the firm when meeting and greeting all clients and visitors to the NY office while following office security policy and procedure. H/She will set the example for BBH so that visitors are left with a lasting impression to exceptional client service. The position is responsible for the oversight and management of the NY/NJ Reception Teams in addition to the Partner's space on the 2nd Floor, Executive Dining Rooms/ Space (EDR) and 3rd Floor Conference Center.
S/He will be expected to assist management when needed on daily functions/projects and they are expected to work independently on given tasks/projects. These activities include; invoice processing, oversight/manage Enterprise Services website, check processing, archive management, client service and ES policies and procedures.
The position will also provide support to the other ES Specialist(s) on the team. All ES employees must adhere to business professional dress code. Standard working hours are 9am-5pm but over time may be required. Flexibility is a must in this position
Some of your key responsibilities include:
o Provide superior client service
o Provide leadership to the NY/NJ Reception Teams
o Monitor and manage Executive Dining Rooms and private conference room space and book reservations as requested
o Ensure the set up/clean up/reset of the conference space
o Coordinate with Dining Services on timely service for catering orders
o Greet all clients and guests and direct them to the proper destination, etc. Announce their arrival to the appropriate parties
o Coordinate the scheduling of all activities taking place in the Partners' conference rooms, the executive dining rooms and conference centers
o Act as a point of contact for the internal clients with respect to reserving and requesting services
o Cross train to learn all job functions within your group.
o Perform various other related duties as requested/required to facilitate the productivity of the department.
o Answer telephone calls, take messages, respond to questions and direct callers to appropriate parties as necessary
o Gain efficiencies to improve individual activities
o Contribute to Division or Firm process improvement activities
o Monitor and track requests coming through the Facilities call center and escalate urgent requests to appropriate parties as necessary
o Assist team members with day to day activities when needed/ proving back up. This includes switchboard coverage when needed
o Help to identify and document errors in an effort to reduce exposure
o Ensure all area procedures are updated and documented
o Communicate professionally and constructively to effectively resolve issues in order to minimize risk and exposure
o Participates in and seeks functional cross training opportunities as approved by Manager
o Ensure timely response to internal and external requests
o Ensure all internal reporting/time tracking are completed timely and accurately. This allows you to assist in the development and production of the LOB's monthly management reporting.
o Provide support on department projects as requested
Qualifications:
o Associates degree
o Experience working in a professional environment
o 2 years in the hospitality industry
o Experience from hotel reception a plus
o Excellent client service skills-service orientated attitude
o Strong PC skills (Windows XP, Word, Excel, Access, PowerPoint, Outlook)
o Ability to communicate professionally and politely
o Maintain integrity and professionalism at all times
o Ability to respond appropriately to challenging situations
o Ability to multi-task
o Energetic and positive attitude
o Available to work overtime when necessary
o Ability to be flexible
o Team orientated
Salary Range
$60,000-70,000
BBH's compensation program includes base salary, discretionary bonuses, and profit-sharing. The anticipated base salary range(s) shown above are only for the indicated location(s) and may differ in other locations due to cost of living and labor considerations. Base salaries may vary based on factors such as skill, experience and qualification for the role.
