PRIMARY PURPOSE:
Serve as receptionist to greet and receive incoming patrons into the school and answer the central switchboard system.
QUALIFICATIONS:
Education/Certification:
- High school diploma or GED
Special Knowledge/Skills:
Ability to operate multi-line phone system
Ability to treat district employees and/or patrons in a patient and tactful manner
Ability to communicate well with people on phone and in person
Proficient skills in keyboarding skills and computer usage
Effective organization, communication, and interpersonal skills
Ability to follow verbal and written instructions
Ability to speak Spanish desired but not required
Experience:
- One year experience in public education environment preferred
MAJOR RESPONSIBILITIES AND DUTIES:
Reception and Phones:
Receive all incoming calls and transfer to appropriate staff.
Assist public, staff, and students as needed.
Receive and direct all incoming calls, take reliable messages, and route to appropriate staff.
Answer general questions from the community.
Maintain visitor logs and issue visitor passes.
Sort, distribute and deliver mail, messages, and fax documents.
Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
Make and log all long distance calls.
Report all telephone repairs as needed.
Maintain records of teacher attendance, run weekly/monthly reports, and close files each month.
Greet all visitors and direct to appropriate areas.
Gather homework assignments.
Sign for all merchandise from U.P.S. and mail carrier.
Ensure time cards have appropriate signatures and send to the business office.
Maintain paperwork pertaining to substitutes.
Responsible for selling locks to students.
Maintain a sign-in sheet for teachers/substitutes.
Learn to program phones.
Maintain scheduling of the Master Teaching Room.
Receive and distribute U.S. Mail.
Receive and distribute Central Office Mail.
Cooperate fully with colleagues in shared responsibilities.
Provide clerical assistance as needed.
