POSITION OVERVIEW

The Receptionist is part of the Corporate Facilities team and reports to the Senior Coordinator, Office Administration. This position assists with an array of administrative support activities and tasks. The Receptionist is responsible to perform receptionist and administrative duties, such as answering incoming calls, directing calls to appropriate personnel, mail distribution and flow of correspondence, requisition of supplies and consumables, managing the team calendar, ensuring meetings are setup correctly and timely, among other duties. A high degree of professionalism and respect are essential to best represent the company in a positive manner.

RESPONSIBILITIES AND ESSENTIAL DUTIES

  • Greet visitors and employees.
  • Answers and directs telephone calls, delivers messages, schedules conference calls, and distributes incoming mail.
  • Maintain security by adhering to visitor guidelines.
  • General administrative office duties to include electronic filing, organizing, binding including routine reports and other administrative responsibilities as requested.
  • Manage meeting setup forms in Outlook as well as meeting room maintenance.
  • Schedule and coordinate meetings/appointments, including determination of special equipment needs and room accommodations.
  • Submit and process gym waivers for employees, ensuring all gym waiver documentation is accurately recorded and stored.
  • Monitor and manage tickets related to SPL and CCL via the Office Services ticketing system.
  • Assign tickets to the appropriate team member for resolution as needed.
  • Assist with onboarding new parkers, including account setup and documentation.
  • Assist with updating parking records and profiles on the parking management log.

KNOWLEDGE AND SKILLS:

Knowledge:

This position requires a strong understanding of corporate office protocol, customer service philosophies, document management methodologies and procedures, and automated online system applications.

Skills:

  • Candidate must be professional, punctual, reliable.
  • Excellent verbal and written communication skills.
  • Self-motivated, well-organized, and detail-oriented professional with an ability to multi-task a must.
  • Time management skills with ability to prioritize competing requests and deadlines.
  • Ability to handle confidential information.
  • Intermediate to advanced proficiency with MS Office including Word, Outlook, Excel and Power Point.
  • This position will require a broad understanding of the organization, functions, roles and responsibilities and will also require interfacing with other Company personnel, and others as required.

EDUCATION AND EXPERIENCE

  • Education and Certifications: High School Diploma or GED is required. CAP certification or similar administrative-related certification preferred. Associates degree or higher-level degree is a plus.
  • Experience: Minimum of five (5) years corporate receptionist experience. Must be proficient in Microsoft Office applications. Preferred experience includes Adobe Suite, Oracle applications, and/or experience in accounts payable/receivable.

WORK CONDITIONS

  • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others.
  • Occasionally will be required to work overtime, including after normal work hours or on weekends.
  • Periodically travel as business requires.
  • Subject to drug and alcohol testing, per applicable federal regulations or as required by Cheniere.
