Position Summary:
Greets all callers, visitors, and guests professionally and with a warm and welcoming presence. Efficiently directs the day-to-day operation of the switchboard and reception area of a Fortune 100 Corporate office. Assists with filing, mail processing, conference room reservations, and other administrative duties, as assigned. Functions as a team member within the department and cross-functions, as required, and performs any duty assigned to best serve the company. This is an onsite, in person role.

Position Responsibilities:
  • Serves as a role model for the Company's expectations as described in PFG in Action.
  • Professionally greets associates, guests and visitors on the telephone and in person in a welcoming manner.
  • Ensures security procedures for building access are followed.
  • Directs visitors to designated meeting rooms.
  • Answers and appropriately directs incoming calls from the Company's main phone line.
  • Demonstrates proficiency in Microsoft Office products to accurately search associate information.
  • Operates as a liaison to support local corporate events.
  • Reserves conference rooms as needed and monitors meetings/events that impact building headcount.
  • Processes invoices for facility vendors and the Corporate FedEx account.
  • Supports mail sorting and distribution to include notifications of UPS and FedEx shipments.
  • Partners with team to support community outreach projects.
  • Performs other related duties as assigned.


Required Qualifications

High School Diploma/GED or Equivalent Experience
3 5 years previous experience in a large, high traffic office environment
General office experience to include basic computer and switchboard skills
Strong interpersonal skills to create a welcoming experience for all who enter the Corporate office
Excellent communication skills, patience and listening skills to respond and interact positively to customers, guests and visitors, whether in person or over the phone
Time management skills to prioritize and complete a variety of tasks throughout the day
Exceptional customer service skills

Preferred Qualifications

5 7 Years
Ability to understand and speak Spanish is a plus
Preferred Professional Certification: Microsoft Office Certification
