Definition: This position provides personalized services and assistance to members of the Summit Club. This involves assisting with reservations, handling special requests, helping plan and coordinate events or private functions, providing information about upcoming events and activities, maintaining member records and preferences, and addressing and resolving members' complaints or concerns promptly and professionally
Key Responsibilities:
All member interaction responsibilities take priority over administrative tasks.
Customer Service Excellence: Deliver exceptional member and guest service by being attentive, patient, and helpful in all communications.
Detail Oriented: Attention to detail is essential for ensuring accuracy and maintaining high standards in all aspects of this role
Handle Incoming Calls Efficiently: Answer and route all incoming telephone calls promptly, courteously, and accurately.
Manage Voicemail: Check and respond to voicemail messages in a timely manner, ensuring all inquiries and requests are addressed.
Email Correspondence: Monitor and respond to emails quickly, maintaining a professional tone and providing accurate information.
Assist with Inquiries: Provide information and assistance to on-site members and guests, telephone calls and email senders regarding services, reservations, and general inquiries.
Private Event Coordination: Collect details for intimate member gatherings at the Summit Rock Clubhouse and coordinate logistics with the General Manager and Executive Chef.
Support for Summit Events & Programming: Provide support to the Membership Team and Summit Rock GM by assisting with Summit Rock events and member programming, including planning, logistics, and day-of coordination to ensure a seamless and engaging member experience.
Coordinate with Other Departments: Liaison with other departments to relay messages, requests, and ensure smooth communication flow.
Confidentiality: Handle sensitive information with discretion and maintain the confidentiality of client and company information.
Technical Proficiency: Use telecommunication systems and email platforms efficiently, troubleshooting any minor technical issues that may arise.
Member Event Support: From time to time assist event team with pre, during and post event responsibilities.
General Duties:
Interact with Members, guests, realtors and visitors offering warm welcomes, requested information, directions and fond farewells.\n Know and communicate general knowledge of the property, policies and procedures, operating hours and current events property-wide.\n Assist with event planning and orchestration, reservations, onsite registration, decor and setup.\n Orchestrate tasks associated with issuance of unaccompanied guest passes (support role).\n Serve Members and their guests by making reservations to the amenities and suggesting activities and services to enhance their experience and generate revenue in our outlets.\n Maintain a good rapport with all managers and associates to ensure a smooth resolution of all member and guest concerns.\n Contact new Members to pick up or mail their temporary/permanent Member cards (support role).\n Assist in member statement communication and general accounting (support role).\n Oversee member photograph collection and directory (support role).\n Introduce new and longstanding members to the expanding Member's Online Portal.\n Greet prospects and area realtors, take accurate information and collection of Membership Interest Cards to pass along to the Director of Membership.\n Provide notary services to the members,\n
Employment standards:
\n High School diploma or equivalent required.\n Notary public required.\n Strong interpersonal, multi-tasking and prioritizing skills.\n Strong computer skills.\n Organizational and follow-up skills.\n Excellent oral and written communication skills.\n Possess problem solving, creativity and decision-making skills.\n Excellent social and interpersonal skills.\n Have a sense of urgency and initiative.
