JOB TITLE: Facilities Secretary/Receptionist
CLASSIFICATION: Operational Support Staff
RANGE/GRADE 10: $17.39 to $18.49 (based on education and experience)
LENGTH: 260 days/8 hours per day
REPORTS TO: Director and Assistant Director of Facilities
LOCATION: Facilities Service Center

QUALIFICATIONS:
- High School Diploma;
- Minimum three (3) years related job experience or hold post-secondary related degree/certificate.
- Must be able to type and handle various types of correspondence;
- Be proficient in use of office computer technology including word processing and data base applications;
- Meet and interact professionally on a daily basis with staff, school personnel, other offices, and general public;
- Such alternatives to the above qualifications as the administration may find appropriate and acceptable.
RESPONSIBILITIES:
- Perform general administrative/clerical duties for the Facilities Department: typing, filing, greet visitors, manage records, maintain office equipment, and prepare for the start and end of school year.
- Maintain confidentiality in all aspects of this position.
- Screen incoming calls and refer to the appropriate staff for action.
- Call vendors for needed service and materials as directed by facilities management.
- Receive all event management requests for scheduling and collect any certificates of insurance needed.
- Inputs and regularly updates energy database (utility data) for utility tracking and reporting.
- Remains current and knowledgeable in all aspects of the Energy Analytic software (Watchwire).
- Enters Energy Management System Heating and Cooling Schedules.
- Remains current and knowledgeable of building automation software.
- Processes corporation badges and enters employee data into alarm system/access control database.
- Verify that all facilities vendors have had a background check
- Verify driving records for facility employees.
- Cross train other office staff on essential duties.
- Provide coverage for other office staff and learn their essential duties.
- Other related duties as may, from time to time, be assigned by the supervisor.
SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities.
PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand, walk, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 40 pounds.
