POSITION PURPOSE

The Receptionist serves as the first point of contact for students, families, staff and visitors at a special education school. This role provides high-quality customer service and administrative support to ensure efficient office operations. This position includes performing clerical tasks, maintaining student and administrative records, managing communications and assisting with other school-based duties as assigned.

ESSENTIAL FUNCTIONS

  • Warmly greets and assists students, families, staff and visitors upon arrival and departure.
  • Manages a multi-line phone system; answers, screens and directs calls in a professional manner.
  • Performs general office and clerical duties, including but not limited to scanning, filing, data entry, copying and mail distribution.
  • Maintains accurate and organized records in both digital and hard copy formats using approved district software.
  • Assists in maintaining the front office area and ensuring a welcoming and professional environment.
  • Coordinates the distribution of materials, forms, and information to families and staff as needed.
  • Supports student arrival and dismissal procedures and responds appropriately to routine inquiries and emergency situations.
  • Provides administrative assistance to school staff and administrators as directed.
  • Ensures confidentiality of student and staff information.
  • Performs other duties as assigned by the supervisor.

EDUCATION and/or EXPERIENCE

  • High School diploma or equivalent required
  • Minimum of three (3) years of relevant office or administrative experience, preferably in a school or educational setting.

KNOWLEDGE, SKILLS and ABILITIES

  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and other data entry software.
  • Strong verbal and written communication skills; ability to interact positively and respectfully with students, families and staff.
  • Strong organizational and multitasking abilities, particularly in a busy office environment with frequent interruptions.
  • Ability to work independently with direction and as part of a team.
  • Ability to handle sensitive or confidential information with discretion.
  • Demonstrated ability to learn and apply school/district procedures and protocols.

LANGUAGE SKILLS

  • Ability to read and interpret safety rules, instructions and procedure manuals.
  • Ability to write routine correspondence and reports clearly and professionally.
  • Ability to communicate effectively with diverse individuals, including parents, staff and students.

MATHEMATICAL SKILLS

  • Ability to add, subtract, multiply and divide using whole numbers, common fractions, and decimals.

REASONING ABILITY

  • Ability to apply common sense understanding to carry out instructions.
  • Ability to manage multiple tasks while remaining welcoming and helpful to visitors and staff.

PHYSICAL DEMANDS

  • Frequently required to sit for extended periods.
  • Regular use of hands for typing and file management.
  • Occasional walking, standing or reaching.
  • Vision requirements include close vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT

  • Office environment within a special education school.
  • Moderate noise level.
  • Frequent interactions with students, families and staff.
  • Must maintain composure and professionalism is a dynamic, interruption-prone environment.
