Senior Receptionist & Switchboard Operations (MS Onsite)

Additional Pay Details:

Compensation range is $22.00 - $24.00 per hour

Position Profile

Serve in a senior-level capacity to uphold a professional image of the company by delivering prompt, courteous, and efficient service to visitors, guest employees, and telephone callers. Responsibilities include message handling, light administrative support, and maintaining a welcoming front office environment.

Key Responsibilities

  • Greet visitors, manage sign-in, issue visitor badges, and assign wireless network access as needed
  • Activate temporary access badges for employees with lost, forgotten, or malfunctioning badges
  • Answer and route global calls, including confidential ones, using the company-wide switchboard
  • Prioritize calls and escalate customer service issues appropriately
  • Maintain and update company phone and speed dial lists
  • Train and guide backup receptionists on policies and procedures
  • Notify employees of inbound deliveries or redirect to the Mail Room as appropriate
  • Provide light administrative support (e.g., issuing access cards, scheduling meeting rooms, preparing labels/manuals)
  • Proactively seek additional tasks during downtime
  • Track and follow up on loaned access cards; notify Security if not returned
  • Build professional relationships with customers and internal teams
  • Keep the reception area clean and organized, including reading materials
  • Perform other duties as assigned by the Site Manager

Qualifications

  • High school diploma required
  • Experience in a headquarters environment preferred
  • 8+ years of receptionist experience in a busy switchboard setting preferred
  • Typing speed of 40 WPM
  • Flexibility to work between 7:00 AM and 6:00 PM (8-hour shifts)

Knowledge, Skills, and Abilities

  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal skills
  • Proficient in PC use and basic clerical tasks
  • Ability to manage high call volumes
  • Strong organizational and judgment skills

Working Conditions and Physical Demands

  • Office environment with standard lighting, ventilation, and noise levels
  • Requires comprehension and application of complex information
  • Mostly sedentary work with occasional walking, standing, bending, and light lifting (under 10 lbs)
  • Regular use of keyboard and other office tools requiring moderate dexterity
