Job Summary: As the first point of contact for the university, the Receptionist/HR Department Assistant plays a vital role in creating a welcoming and professional environment for students, staff, and visitors. This position also supports the Human Resources team with a variety of administrative tasks that help keep our office running smoothly and efficiently. Salary: Pay range $20.57 - $22.23 per hour (annualized $21,392.80 - $23,119.20) Actual salary offered is determined by the candidate's experience, education, skills, and other factors, including internal equity and university funding resources. Schedule: This is a part-time, benefit eligible role at 20 hours per week. We prefer a schedule of Monday through Thursday from 8:00 AM to 1:00 PM, but we're open to flexibility. You may propose your own hours, as long as they are consistent each week. Any changes should be communicated and approved in advance. Job Status: Part time *** Job Description: What We're Looking For A team player who can provide prompt, professional, and warm customer service in person and over the phone Someone with strong attention to detail and the ability to stay organized while handling frequent interruptions A quick learner with the initiative to master new systems and processes Ability to handle confidential information with discretion and professionalism A self-starter who takes ownership of their responsibilities and stays on top of tasks Experience juggling multiple administrative duties in a fast-paced office setting Interest in contributing to meaningful HR events and employee engagement efforts Creativity and comfort in creating simple, engaging communication (such as birthday cards or welcome folders) Ability to manage and train student workers while ensuring consistent front desk coverage An individual who thrives in a service-oriented environment and enjoys supporting others What You'll Be Doing Welcoming and assisting walk-in visitors, students, and employees in a professional and friendly manner Answering and directing phone calls, monitoring voicemails, and managing the HR email inbox Maintaining and updating contact directories and voicemail recordings Supervising student workers and coordinating front desk coverage schedules Supporting department logistics such as work orders, supply orders, and mail distribution Coordinating and reserving space for meetings and department events Preparing materials for new hire orientation, faculty interviews, and employee events Processing department invoices, deposits, and internal payment transfers Managing keys, business card orders, and office/kitchen upkeep Supporting internal HR communications through platforms like the HR portal and Canva Qualifications Ability to provide customer service in person or over the phone Positive friendly disposition and the ability to communicate and exercise important human relations skills with visitors, faculty, staff, and students Receptionist or switchboard experience preferred Proficiency in Google Suite and Zoom (or other similar platforms) Proficiency in Canva preferred Ability to learn new software, such as the university's HRIS software (Workday) Strong organization skills and the ability to use independent judgment in prioritizing tasks while experiencing frequent interruptions Ability to respect and maintain appropriate confidentiality Evidence of Christian commitment and active church involvement. PHYSICAL REQUIREMENTS The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, e-mail and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone.
