The Office of Administrative Hearings (OAH) is the largest of three Executive Branch Courts with over 75 full-time equivalents located in St. Paul and Duluth. OAH, with 35 judges, is comparable in size to the Ramsey County District Court with 32 judges. The Administrative Law division serves over 250 state agencies and local units of government by hearing and adjudicating matters involving over 200 unique areas of law. This position provides high-quality professional, pleasant, and courteous services to diverse OAH clientele both external and internal via telephone or in-person. This position directly assists court clientele providing information on proceedings pending before OAH. This position also supports access to OAH's secured courtroom area and provides limited onsite technical assistance in the courtrooms. This position's work involves managing the print queues and delivering mail and packages in an efficient manner to individual judges and / or staff to ensure documents are timely processed. Job duties include but are not limited to: + Provide exceptional customer service and accurate responses to telephone or in-person inquiries. + Retrieve and process office-wide mail. + Maintain hearing and conference rooms. + Provide onsite technical assistance in courtrooms. + Maintain office supplies. **Minimum Qualifications** + Data entry skills sufficient to create database records and update entries in a timely manner. + Customer service practices and principles sufficient to identify each customer's needs, meet quality standards for services, that result in customer satisfaction. + Respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes. + Receive and review source documents, compare documents to database information, and edit documents. + Document and record management sufficient to maintain electronic or paper files for efficient organization and retrieval of information. **Preferred Qualifications** + Receptionist experience. + Knowledge of Microsoft Word and Excel, and C-Track case management system. + Strong workers' compensation or administrative law background/knowledge. + Ability to quickly learn new software. + Strong organizational and planning skills to meet timelines with limited supervision. + High level of initiative, effort, and commitment to completing assignments efficiently. Ability to align behavior with the organization's needs, priorities, and goals. **Physical Requirements** + Ability to work in a seated or standing position for extended periods of time. + Move and/or transport items weighing up to 20 pounds on a regular basis. **Additional Requirements** It is the policy of the Office of Administrative Hearings that all employees submit to a background investigation prior to employment.
