Purpose of the Position**

The Receptionist is responsible for delivering clerical, secretarial, and administrative support to ensure the smooth and efficient operation of municipal services within the Hamlet Office.

**Scope of Work**

Reporting directly to the Executive Director, the Receptionist serves as the first point of contact for the organization. This position plays a critical role in maintaining office operations, assisting staff, and ensuring the timely and accurate flow of information. Inefficiencies in this role may lead to service disruptions and reduced operational effectiveness.

**Key Responsibilities**

**1. Office Administration & Support**

+ Answer and direct telephone and fax communications.

+ Receive and distribute incoming mail; open and date-stamp general correspondence.

+ Maintain general filing systems and file all incoming/outgoing documents.

+ Assist in scheduling and preparation for meetings, including Council and committee sessions.

+ Maintain office supply inventory and place orders as needed.

+ Provide word processing and other secretarial support.

+ Coordinate conference calls and meeting logistics.

**2. Clerical Duties**

+ Maintain accurate and up-to-date filing and record-keeping systems.

+ Monitor office supply usage and coordinate equipment maintenance and repairs.

**3. Reception & Front Desk Management**

+ Answer incoming calls and respond to inquiries professionally.

+ Redirect calls and take messages when appropriate.

+ Greet and assist visitors, students, and members of the public.

+ Guide visitors to the appropriate staff or department.

**4. Staff & Executive Support**

+ Provide general administrative assistance to the Executive Director and staff.

+ Support internal communications and office-wide coordination efforts.

**5. Other Duties**

+ Perform additional administrative and clerical tasks as assigned.

**Qualifications & Skills**

+ Must be fluent in English AND Spanish

+ Proven experience in a receptionist or administrative support role preferred.

+ Excellent interpersonal and communication skills.

+ Strong organizational and time management abilities.

+ Proficiency in Microsoft Office Suite (Word, Outlook, Excel).

+ Ability to work independently and handle confidential information with discretion.

**Pay Details:** $18.00 to $20.00 per week
