PART TIME SCHEDULER / RECEPTIONIST

Job Duties:

Administrative duties, answering telephone calls and directing calls to appropriate parties.

Placing employees in the appropriate jobs and interaction with employees and clients for scheduling purposes.

Generating labor quotes.

Data entry.

Basic computer skills are required, specifically Microsoft Excel.

A professional appearance and demeanor.

Polite and professional phone etiquette with the ability to communicate effectively with a diverse range of personalities.

Ability to work well in a team atmosphere.

Projects as necessary.

Training on our Citrix basics scheduling program will be provided.

This position also requires extreme attention to detail and the ability to multitask in a fast-paced environment. This is a part-time position: Monday, Wednesday, and Friday, working the hours of 10am - 6pm with a 30 minute paid lunch. Flexibility in your schedule, to include weekends and holidays will be required. The individual in this position is also required to carry the "on-call" cell phone for one week at a time once per month and handle any orders or scheduling that occur during non-business hours.

Typical Job Tasks

Schedule employees for multiple event sites, shifts, and travel jobs.

Data entry, such as uploading timesheets, receipts, and client / employee information.

Interact daily with employees and clients to process requests, schedule changes, and general inquiries.

Preferred Experience

Past administrative assistant experience

Experience in sales or a call center environment

Experience with Google docs, spreadsheets, email and excel

Solid computer skills and an aptitude for learning new software

Ability to work remotely some nights and weekends

Qualifications

SKILLS:

Microsoft Office, Microsoft Excel, and QuickBooks

Practice exemplary interpersonal skills such as respect, courtesy, and patience.

Strong attention to detail with excellent organizational skills

Demonstrate genuine commitment to being a part of our team

Ability to learn new computer programs quickly

Proper use of grammar, punctuation, spelling, basic mathematics, standard types of office filing systems, proper telephone etiquette and techniques, standard office equipment

Self-starter who has great time management skills and excellent attendance.

The ability to communicate professionally, clearly, and concisely, both verbally and in writing.

WORK SCHEDULE:

DUTIES MAY INCLUDE BUT ARE NOT LIMITED TO:

Answering and directing phone calls

Greeting clients

Ordering and keeping track of supplies

Administrative tasks such as filing, faxing, and data entry

Scheduling/dispatching employees

Making phone calls

Assist with developing and maintaining working relationships with clients and employees.

Directing employees/clients through to appropriate channels to care for their needs

Management of field staff scheduling through positive motivation.

Respond promptly to emergent events, issues, staffing, and client requests.

Data entry, job scheduling, and invoicing when needed.
