About the Position:
Join our growing personal injury law firm in Newport Beach as a full-time receptionist. As the first point of contact for clients and visitors, you will play a key role in creating a welcoming and professional environment. Youll support our attorneys and staff with essential front desk and administrative duties, helping to ensure the smooth operation of our office.
Key Responsibilities:
Greet clients and visitors warmly, ensuring a positive first impression
Answer and route incoming phone calls and record messages accurately
Respond to general email inquiries or forward them to the appropriate staff
Schedule appointments and manage attorney calendars
Maintain the reception area, conference rooms, and kitchen to ensure cleanliness and organization
Open, sort, and distribute incoming and outgoing mail
Assist with preparing and sending correspondence
Support attorneys and case managers with administrative tasks as needed
Maintain confidentiality and handle sensitive information appropriately
Qualifications:
High school diploma or equivalent required; additional administrative training a plus
1+ years of experience as a receptionist, front desk, or in a customer service role (law firm or professional office experience preferred)
Excellent verbal and written communication skills
Strong organizational skills and attention to detail
Professional, polished, and friendly demeanor
Proficient with Microsoft Office (Word, Outlook) and standard office equipment
Ability to multi-task and work efficiently in a fast-paced environment
Bilingual (English/Spanish) required
