Core Responsibilities of the Receptionist:
- Greet and welcome visitors with a friendly and professional demeanor, ensuring a positive first impression of Perkins&Will.
- Answer and direct incoming phone calls to the appropriate individuals or departments, promptly and courteously.
- Respond to inquiries from clients, customers, and employees, providing accurate information or routing them to the appropriate resources.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Ordering and setting up lunches for our client and staff.
- Assist with scheduling appointments, meetings, and conference room reservations.
- Provide administrative support to various departments, including document preparation, data entry, and shipping/courier.
- On occasion, coordinate and arrange travel accommodations and itineraries as required.
- Follow company procedures for security, health, and safety to maintain a safe working environment.
- Collaborate with other administrative staff to ensure efficient operations and provide support as needed.
- Stay updated on company policies, procedures, and upcoming events to provide accurate information to visitors and employees.
- Adhere to professional and ethical standards, maintaining confidentiality of sensitive information.
Qualifications:
- Proven experience as a receptionist, front desk representative, or in a similar customer-facing role is preferred.
- Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels.
- Strong organizational and multitasking abilities, with exceptional attention to detail.
- Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, Outlook).
- Demonstrated ability to handle a high volume of calls and inquiries in a courteous and efficient manner.
- Positive attitude and a customer service-oriented mindset.
- Ability to remain calm and composed in stressful situations, demonstrating problem-solving skills.
- Professional appearance and demeanor, with excellent telephone etiquette.
- Dependable, punctual, and committed to maintaining confidentiality.
- Regular schedule: Monday-Friday 8:00 am - 5:00 pm on site.
- Ability to work independently as well as in a team environment.
- Flexibility to adapt to changing priorities and handle unexpected situations effectively.
Salary Range Information

At the time of posting this job advertisement, commensurate with qualifications, the annual pay salary range for this position is between $49,600 and $63,300, dependent on location and experience.
