Position Overview The DV Visit Coordination, Conference and Event Planner will provide on-site support to accomplish and execute Distinguished Visitor (DV) tours and visit assistance, corporate tour coordination, and event planning for the Aerospace Systems Directorate. These activities have the potential to support a wide demographic group including senior Air Force and DoD leadership, industry leaders, academia, and STEM communities.

Essential Job Function

Tours:

  • Provide direct support to DV visits and corporate tour activities.
  • Tour support shall include logistics, pre-tour site selection relative to the reason for the tour/visit, agenda development, protocol, transportation scheduling, dry run, visit area pre-checks, tour execution and escorting groups.
  • Regular coordination with the enterprise level lead tour POC will be required to keep leadership fully informed of all upcoming tour plans and dignitary visits.

Pre-Tour Tracking and Coordination:

  • Work directly with FOG members to approve RQ support of requested tours and site visits, in addition to the site locations relative to approved tours/visits.
  • Provide weekly update briefs to the Front Office Group related to the current status of all tour and visit requests.
  • Meticulous tracking of approvals, input and changes related to particular tours should be annotated and available for access by leadership.
  • Coordinate logistics with executive assistants and protocol (calendar scheduling for FOG members, parking requests, food orders, etc.).
  • Schedule a FOG (or otherwise named) member to meet and greet each tour group.
  • Prepare a landing spot or conference room and be required to load any overview briefings prior to a tour.
  • Familiarize themselves and assist with protocol and associated activities that require protocol.

Tradeshows:

  • Develop and recommend corporate marketing plans and products in support of planned tradeshow events.
  • The products will communicate the organization's roles, mission, technologies, and capabilities to our customers, stakeholders, and decision makers.
  • It may be necessary to integrate these marketing activities with HQ AFRL corporate events.
  • Support would also require producing, editing, and reviewing outgoing materials for public release approvals.
  • Create performance reports (including materials procurement, maintenance and disposition, as well as other periodic or ad hoc reports).

Minimum Qualifications

  • Obtain and maintain a Secret clearance
  • Bachelor Degree
  • 3-10 years of experience
