Description Overview
The Conference Center Receptionist will provide welcoming experience for visitors at reception and ensure conference room spaces are maintained to the highest standards for the NYPL administrative teams located at 270 Madison Avenue (270MAD). This position requires a balance of customer service, organization, and technical setup skills, ideal for someone with a background in hospitality or customer service in a fast-paced environment. This role interacts with all levels of 270MAD staff and their guests/visitors daily and must ensure superior customer service.
Responsibilities :
  • Guest Experience - Greet guests and extend professional courtesy; guide guests to appropriate location; notify appropriate staff of guest arrivals
  • Meeting management - Monitoring the meeting room booking system and other systems to stay on-top of daily meetings and event requirements; ensure schedule conflicts and conference room inquiries are resolved in a timely fashion; assist with room set-ups and AV inquiries when needed; coordinate and serve as a partner to the Executive Assistants to ensure all guests and meetings are handled professionally and according to specific instructions
  • Hospitality - Maintain reception area and conference rooms, keeping them tidy and welcoming, oversee and assist with catering deliveries and set up, ensure rooms and conference floor pantry is stocked with supplies, organize rooms before/after meetings
  • Report IT and maintenance needs for resolution and assist with coordination of work for the conference rooms, as needed
  • Support HR through a variety of clerical and administrative tasks, such as monitoring the general email account, assisting with recruitment activities, and updating reports. Cross-train floater coverage for backup support
  • Other duties and projects as assigned

Required Education, Experience & Skills Required Education and Certifications
  • High School Education; some college preferred
Required Experience
  • At least 2 years of professional experience, preferably in a mid to large-sized organization
