Job Description:
The Receptionist serves as the first point of contact for all visitors, vendors, and callers to our San Ramon office, which supports approximately 400 employees. This role is responsible for creating a welcoming environment, managing front desk operations, performing facilities and administrative support to ensure smooth day-to-day office functioning.
Key Responsibilities
- Greet and direct visitors, vendors, and staff in a professional and courteous manner.
- Answer and route incoming calls to appropriate departments or individuals.
- Maintain visitor logs and issue temporary badges in accordance with security protocols.
- Manage conference room bookings and coordinate meeting logistics as needed.
- Receive, sort, and distribute incoming mail and packages; prepare outgoing mail.
- Maintain cleanliness and organization of the reception area and common spaces.
- Order and stock office supplies, including coffee and breakroom essentials.
- Provide administrative support to HR, Facilities, and other departments as needed.
- Serve as liaison with building management and vendors for facility-related issues.
- Assist with onboarding logistics for new hires, including welcome packets and desk setup coordination.
- Coordinate food orders for meetings and events.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Minimum 2 years of experience in a receptionist or front office role, preferably in a mid-to-large office setting.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel).
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask and remain calm under pressure.
- Professional demeanor and customer service orientation.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Occasionally lift or move items up to 25 pounds (e.g., office supplies, packages).
- This job is an in-office job 5 days a week.
