Job Summary

Joining our team as the Guest Services Coordinator means becoming part of a community of exceptional individuals like yourself. As the Guest Services Coordinator, you will coordinate and manage Flex Office reservations and spaces. The ambassador will establish a warm, welcoming and professional atmosphere for all executives and staff members at all times. You will consistently embody an energetic, friendly, and approachable demeanor. You will report to the Conference Services Manager and collaborate with partners and colleagues in different regions.

Essential Job Functions:
Reception, Hospitality, & Conference Services
Provide on-site hospitality coverage, including front desk reception and conference center operations, MondayFriday, 8:30 AM5:30 PM
Schedule and coordinate conference rooms and services including Catering, AV, and other services including video conferencing set-up
Prepare conference rooms prior to meetings, including setting up food and beverages, maintaining supply levels during events, and clearing setups post-meeting
Serve as Receptionist and hospitality ambassador during special events as needed
Ensure conference rooms and community areas are maintained in a neat and orderly fashion; stock and maintain supplies in central kitchen and break rooms
Act as an information hub for guests and visitors, offering guidance on building logistics, local amenities, and transportation
Monitor daily hoteling desk reservations and ensure efficient space utilization
Communicate with Flex users and assistants to resolve booking conflicts or clarify reservation discrepancies
Support last-minute desk requests, serve as the primary point of contact for hoteling issues, and ensure readiness of desks, signage, and cleanliness

Office Services & Facilities Support

Sort, scan, and distribute incoming mail and courier deliveries (USPS, FedEx, UPS, etc.)
Collect internal interoffice mail and prepare outgoing shipments, including firm pouch deliveries to domestic/international offices
Assist with shipping inquiries and tracking missing packages
Prepare and submit firm pouch deliveries and courier requests, including dropping off outgoing mail
Perform document reproduction and finishing tasks (collating, binding, stapling, etc.) using in-house equipment or external services
Maintain mailroom and copy equipment; escalate service needs to the NY Operations Manager as appropriate
Monitor and restock conference services and general office supplies; coordinate inventory with Office Services
Manage security-related logistics, including ID badge creation, maintenance workorders, HVAC, building access requests, vendor COIs, and freight elevator scheduling
Report housekeeping issues including lights out, furniture stains or damage, floors or carpets damage, etc.

Additional Duties
Update floorplans and desk availability in reservation systems as changes occur
Provide limited server room support in coordination with IT (e.g., rebooting appliances, cable check)
Follow security, safety, and fire protocols as trained and report any incidents or hazards
Communicate and collaborate effectively with all departments and vendors
Other duties as assigned
