Under the direct supervision of the Manager of Staffing and Systems, the Human Resources Office Assistant & Receptionist supports the Human Resources department by overseeing the reception area and providing administrative assistance.
Essential Functions

- Responsible for constant coverage of the front desk reception area, consistently maintaining an atmosphere of professionalism and service.
- Answer and respond to all inquiries made by telephone, e-mail, or in person.
- Direct employees, students, and visitors to the appropriate area or person within Moody Bible Institute.
- Assist new hires with their new hire paperwork, securing all necessary employment paperwork (W-4s, I-9s, etc.).
- Post, maintain, and close student positions on the MBI internal website.
- Answer questions regarding student hiring.
- Assist international student workers with applying for their Social Security Card by providing letters of employment.
- Assist with recruitment activities (scheduling appointments, collecting references, administering assessments, etc.) as directed by the Manager of Staffing and Systems.
- Serve as administrative and clerical support to the other subdepartments of HR (Benefits, Learning and Development, VP of HR) as requested.
- Sort and distribute all incoming mail and packages. Process outgoing mail as requested.
- Post full-time and part-time professional jobs periodically to support the Talent Acquisition Specialist.
- Send monthly emails out including church job list and feedback survey requests.
- Perform related and special duties as assigned by the Manager of Staffing and Systems.
Minimum Requirements
- Affinity and enthusiastic commitment to the mission of Moody Bible Institute
- Prior office or customer service related work experience
- Excellent interpersonal and communication skills
- Ability to multitask
- Computer literate, including comfortable with Microsoft Word & Excel
- Strong attention to detail
- Able to effectively use proper telephone and e-mail etiquette
- Authorized to work in the US legally without sponsorship
Preferred Requirements
- Associate or Bachelor's Degree
- Experience working with a Human Resources Information System (HRIS)
- Experience helping new employees fill out onboarding paperwork

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
This is a full-time professional position that is regularly expected to work Monday through Friday, 8:00 am to 4:30 pm. No travel is expected for this position. Given the nature of the role, the position does need to work from our downtown Chicago location.
