Under immediate supervision, performs a variety of receptionist duties including answering the telephone, greeting visitors, and assisting with related clerical activities.
There is currently one (1) vacancy in the Planning and Building Agency. This list may be used to fill additional vacancies within the City. Essential Functions Include But Are Not Limited ToReceives a large volume of visitors and telephone calls, greets in-person visitors, determines nature of business, answers basic and routine questions, directs and assists callers to appropriate destinations, and takes messages. Represents the department and City on initial contact with the public. Compiles, tabulates, and assists in the preparation of routine reports. Keeps and maintains records. Performs a variety of routine clerical tasks, including basic data entry, filing, and sorting. Assists staff in assembling mailings. May receive, log, and distribute mail. Performs other functions as assigned.
Minimum QualificationsOne year of general office work involving substantial public contact and telephone work, and graduation from high school, or any equivalent combination of education and experience which provides the following knowledge, skills and abilities.
Desirable Knowledge, Skills and AbilitiesKnowledge of: business English and arithmetic; general office practices and procedures; proper telephone etiquette; effective communication techniques; principles and practices of exceptional customer service; and operation of modern office equipment, including personal computer software applications.
Ability to: follow oral and written instructions; learn departmental functions, activities, organizational structure and names of key personnel within a short period of time; handle a large volume of incoming calls and visitors promptly, tactfully, and equitably; communicate clearly and effectively, both orally and in writing; make simple arithmetic computations accurately; maintain effective working relationships with other City employees and the general public; and use general office software and equipment.
Special RequirementMust be fluent in English and Spanish or Vietnamese.

Written Examination ( Tentatively scheduled for July 17-20, 2025) : (Weight of 50%) will evaluate applicants' knowledge of principles and methods for a receptionist.
Oral Interview Examination ( Tentatively scheduled for Tuesday, August 5, 2025 ) : (Weight of 50%) will evaluate the candidates' experience, training, education and abilities in relation to those factors which are essential for successful performance on the job. Candidates need a minimum passing score of 70% in order to be placed on the eligible list.
