Overview

We are seeking a highly organized and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our company, handling front desk responsibilities with a positive and welcoming attitude. In addition to traditional receptionist duties, this role includes responsibilities related to mail sorting, ordering business cards, invoicing, and creating employee badges.

Responsibilities

  • Greet and welcome visitors with a friendly demeanor.
  • Answer and direct phone calls to the appropriate personnel.
  • Maintain a tidy and organized reception area.
  • Manage the visitor log and issue visitor passes as needed.
  • Mail Sorting and Distribution:
  • Sort and distribute incoming mail and packages to the appropriate departments.
  • General Office Duties:
  • Order and manage business cards for employees, ensuring accuracy and timely delivery.
  • Assist with invoicing by processing and tracking invoices, ensuring they are correctly recorded and sent out on time.
  • Create and issue employee badges, ensuring proper identification and access control.
  • Maintain office supplies and ensure all necessary supplies are ordered and stocked.
  • Assist with various administrative tasks as needed, supporting the overall efficiency of the department.

Requirements

  • Possess a high school diploma or equivalent qualification.
  • At least 2 years of proven experience as a receptionist.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage time effectively.
  • Professional appearance and demeanor.

PREFERRED REQUIREMENTS

  • At least 5 years of proven experience as a receptionist.
  • Experience using Smartsheet.

WORKING CONDITIONS AND PHYSICAL EFFORTS

  • Work is normally performed in a typical interior/office environment
  • No or very limited exposure to physical risk.
  • No or very limited physical effort required.
