Home Dialysis Centers of Rancho Cucamonga / Affiliated Dialysis of California Office Receptionist Easy Apply Rancho Cucamonga, CA Easy Apply JOB DESCRIPTION Job Title: Receptionist Non-Exempt Job Relationship (supervised by): Facility Administrator and/or Managing Partners General Statement of Duties The Receptionist will provide administrative support at the Rancho Cucamonga office. Minimum Qualifications High School Diploma or equivalent required; Associates Degree or higher preferred. Two years of secretarial/administrative experience; Excellent written, electronic, and verbal communication skills; Bilingual, fluent in Spanish and English Excellent problem solving and organizational skills; Intermediate to Advanced Computer skills with proficiency required for Microsoft Office programs, (Word, Excel, Outlook), and capability to learn online systems (for purchasing, operational support, etc); Fluent to expert level of understanding in Electronic Medical Records systems; Normal hours are expected to be 8am to 5pm Monday through Friday, on-site at Home Training Facility, with a one-hour lunch break. (40 hours per week, with overtime as required.) Excellent attendance is required to complete the functions of this position; Trustworthy, and able to maintains strictest confidentiality and HIPAA compliance with Protected Health Information, as well as Company Intellectual Property; Team player, with good interpersonal skills and awareness; independently and proactively offers to step up and help other departments when there is capacity to do so; Self-starter, able to receive and understand projects and assignments (in purpose and expectations) and independently, creatively, and strategically execute with success; Aptitude for responsibility and accountability, taking ownership and exemplifying leadership and teamwork within the organization; Excellent business acumen, with ability to manage vendor relationships and performance; Aptitude for learning and taking ownership new concepts, systems, and processes while proactively looking for ways to improve the processes. Essential Functions Overall coordination and support of office operations Management of vendors supporting facility and office equipment maintenance, ensuring facility and equipment are presentable and in top working order; Order supplies and manage inventories for office/organization; Answer and transfer telephone calls and Monitor incoming fax account daily and disperse accordingly First point of contact for all on-site guests; Sort and distribute mail; print postage as necessary; manage shipping when necessary; Banking support tasks and management of Petty Cash account; Assist in performing billing department support tasks, as delegated by Billing Manager, included but not limited to monthly eligibility checks and communicating proactively with patients and billing department regarding patient insurance coverage changes; Provide executive admin support for Executive Leadership (CEO, Managing Partners, Administrator, etc) as needed; Consult with Information Technology Department/Contractor(s) as necessary for troubleshooting computer/server issues; Perform other various data entry tasks as requested; Coordinate and publish schedules for patient visits, labs, physician rounding, and Interdisciplinary Team meetings at the Home Training Facility. Assist and support clinical staff in drawing, handling, and processing laboratory blood/fluid specimens and data reporting (blood draw/handling may require additional licensure/certification); Assist colleagues, Administrator, and/or Managing Partner(s) as requested; Support marketing, business development, and PR efforts for company as designated by Business Development Manager; Proactively present leadership with ideas and potential solutions to improve overall efficiency in office operations; Autonomy is keythese tasks will be performed under general supervision only (reporting manager is not in the office every day), and the expectation is that the Office Administrator consistently shows good judgment, discretion, and initiative); Responsibilities, knowledge, skills, abilities, and working conditions may change as needs evolve. Full range of body motion is necessary for this position. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate documents. Requires dexterity to type 50 wpm.
