Summary:
The receptionist at the Guadalupe Community Center is responsible for welcoming visitors, volunteers, and clients by greeting them, in person or on the phone, with respect and dignity. The receptionist is responsible for answering phones and directing calls to the appropriate staff member, answering basic inquiries from callers and walk-ins, referring clients to in-house programs or other resources, providing application and other necessary forms and information to clients in order to receive services, data entry as needed, providing direct material assistance to walk-in clients as appropriate, and additional duties as assigned.
Position Responsibilities:
**Greet all walk-in visitors, clients, and volunteers with respect & dignity.
**Notify appropriate staff members by phone or email of the arrival of client or visitor as directed by supervisor.
**Answer all income calls in a timely manner, assessing the callers need (s) and transferring the call or providing appropriate referrals quickly.
**Retrieve messages from voicemail and forward to appropriate staff.
**Perform general clerical work as needed including data entry.
**Staff the reception area at all times. Notify back up for receptionist if stepping away.
Maintain current roster of all employees such as emergency numbers, program titles and phone extensions.
Ensure phone system messages greetings are current and post front door and gate signs of agency closures.
Maintain a logbook of all visitors/clients/volunteers to the agency.
Ensure that clients are directed to appropriate program unless otherwise directed by a Director or above.
Adherence to the Code of Conduct and the Faith and Moral is mandatory.
Must be sensitive to the service populations cultural and socioeconomic characteristics.

Adhering to safety training and protocols on a daily basis, and taking precautionary measure to ensure the safety and well-being of self, others.
Responsible for protecting the confidentiality of any information or material obtained in the service with the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations or results of any investigations, and financial information.
Other duties as assigned by Associate Senior Director, Senior Director, and VP Programs.

- Education
- High School Diploma or GED
- Experience
- Follow completion of assigned tasks
- Able to do multiple tasks and meet deadlines
- At least 2 years of administration /receptionist experience.
- License and Credentials
- Reliable transportation
- Valid driver license
- Clean driving record
- Valid vehicle insurance
Minimum Knowledge and Skills:
Knowledge of Microsoft Office Programs.
Skilled in using computers, office equipment, multi-line phone, email and internet.
Ability to maintain high standards of client confidentiality.
Skilled in customer service best practices.
Ability to multitask and work in a fast-paced environment.
Ability to handle crisis and de-escalate situations with clients and staff.
Must have good critical thinking, problem solving and attention to detail skills.
Bilingual in English/Spanish required.
