Reports To: Director of Adult Education

FLSA Status: Non-Exempt, Full-Time and 12 months

Position Summary:

Assist the AEL department with data entry, receptionist duties, and clerical support to create reports, maintain student files, and support all student service activities, including informational and recruitment events for the public and prospective students.

Performance Responsibilities: The AEL Receptionist will:

  • Provide administrative support to the AEL program
  • Handle many daily phone calls regarding enrollment, scheduling, and program inquiries
  • Welcome on-site visitors and determine the nature of business, and notify appropriate AEL personnel
  • Maintain a call log and visitor registry
  • Capture accurate and detailed information for all incoming calls and walk-ins
  • Disseminate program information to appropriate departments and program partners in an efficient, accurate, and timely manner
  • Update program calendars as required
  • Update program information via social media and other specified outlets
  • Maintain data in spreadsheets
  • Track and create reports of students attending orientation and program services surveys
  • Work with the Program Coordinator to ensure that data collection timelines are met
  • Must be able to file, photocopy, and collate documents and flyers for mass distribution
  • Record and archive instructional and administrative staff meetings
  • Maintain the Reception waiting room by ensuring the area is neat and clean
  • Supports the coordination, planning, and implementation of special projects, such as AEL Commencement and Awards Program
  • Promote and represent the program professionally and positively
  • Other duties as assigned

To Be Successful at This Job, You'll Need To: (Minimum Qualifications)

  • High School Diploma or G.E.D.
  • Receptionist experience preferred
  • Working knowledge of the Missouri Adult Education and Literacy program
  • Maintain accurate data
  • Highly organized and proficiently capable of managing multiple tasks
  • Efficient in utilizing office equipment, including copy machine, keyboarding, and Microsoft Word, Excel, and PowerPoint (required) but not limited to
  • Excellent telephone and communication skills
  • Ability to problem solve and work towards a resolution
  • Superior customer service skills
  • Must be able to speak Spanish
  • Must be able to work evening hours
