Under the direction of the Assistant Superintendent(s) or department head, the Central Office Secretary will perform a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public, works cooperatively with staff and parents, and performs other related duties as assigned.
Qualifications:
- Associates degree or professional training in a related field required
- Minimum two (2) to five (5) years’ experience as a secretary or related field
- Strong interpersonal skills; able to work effectively with upset individuals
- Excellent written and oral communication skills utilized to interact effectively with the public and district staff
- Computer data entry experience required
- Strong organizational, analytical, computation, communication and human relations skills
- Proficiency in the use of a computer system and word processing software
- Able to maintain confidentiality as required and appropriate
- Performs secretarial and clerical tasks with minimum direct supervision while exercising judgment within the scope of authority is a must
- Possess strong time management and research skills to accurately handle detailed work under deadline pressure
Duties and Responsibilities:
- Maintains/updates information within computer database; maintains clerical records and prepare reports as requested
- Receives visitors/phone calls, and provides information or makes referrals to other staff members, when appropriate
- Ability to meet and interact with public and employees with tact, courtesy and discretion
- Process forms relating to staff and/or departmental functions
- Ability to handle confidential information with complete security and confidentiality
- Serves as secretary and provides administrative assistance to the Assistant Superintendent(s) or department head; schedules and arranges appointments, meetings, conferences, etc.
- Demonstrates regular attendance and punctuality
- Demonstrates interpersonal skills using tact, patience and courtesy
- Previous experience in a public school setting or institution of higher education preferred
- Ability to operate a variety of office machines and have knowledge of modern office practices and procedures
- Ability to utilize work processing, database and spreadsheet programs on the computer
- Ability to compile information from various sources and type on a variety of forms
- Ability to exercise independent judgment in the interrelation and application of standard practices and procedures
- Performs other duties assigned by supervisor or designee
