PT Special Events Coordinator

Assists in coordinating, marketing, and executing recreation events and programs that are diverse in nature and target all age and ethnic groups under the supervision of the Special Events Recreation Specialist.

Essential Functions

Essential Duties and Tasks

  • Assists with existing events including but not limited to Concerts in the Park, Family Movie Nights, Fireworks Spectacular, Halloween Boo Bash, Easter Egg Hunt, May Month of Fitness, etc.
  • Performs various tasks related to the set up and breakdown for special events.
  • Responsible for recruiting, training, scheduling, and supporting volunteers to ensure successful event operations. Serve as the main point of contact for volunteers, maintaining communication, tracking hours, and fostering a positive and engaging volunteer experience. The ideal candidate is organized, personable, and passionate about community engagement.
  • Researches and secures necessary resources to improve the quality of the events
  • Responds in a timely manner to feedback, questions, and concerns regarding special events
  • Creates an inclusive environment by acknowledging differences and limitations of all participants
  • Establish and maintain a good working relationship with a variety of groups to include town staff, chamber of commerce, schools, civic groups, churches, businesses, arts councils, and the like.
  • Maintain an adequate stock of supplies for programs and events including outreach needs.
  • Performs administrative and planning duties related to special events.
  • Ability to work varying hours contingent upon event, program, and activity demands, including weekdays, nights and weekends
Minimum Qualifications

Education/Experience
Any combination of education and experience equivalent to graduation from a four-year college or university with considerable experience in special event planning or recreational programming.

Knowledge, Skills and Abilities

  • Thorough and comprehensive knowledge of special events Ability to operate office equipment, computers, and standard software packages.
  • Ability to communicate effectively and maintain positive working relationships
  • Ability to prepare written documents with the proper format, punctuation, spelling, and grammar, using all parts of speech.
  • Well organized, detail oriented, creative, and self-motivated
  • Strong record keeping and reporting skills.
  • Ability to work successfully in a team-oriented atmosphere that provides citizens and employees with accurate information.
  • Considerable ability to work well with a diverse population.
  • Ability to plan, multitask, and manage time.

Physical Requirements
  • Must be able to perform the basic life operational skills climbing, stooping, kneeling, crouching, reaching, standing, walking, fingering, grasping, talking, hearing and repetitive motions.
  • Must be able to perform medium work, exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently and/or up to 10 pounds of force constantly to lift objects.
