The Medical Concierge Scheduler is responsible for helping patients via inbound and outbound calls, emails, texts, and web chats. Primary duties of this role include scheduling patient appointments, responding to phone inquiries and supporting WC clinics throughout Florida and Arizona.

  • Contact prospective patients for an initial visit to a WC location, initiated by a physician referral or patient internet inquiry or web chat.
  • Receive inbound calls from prospective and existing patients and work to schedule office visits, ultrasound scans, or reschedule current appointments.
  • Contact existing patients to schedule scans, procedures, or follow up visits and support and improve patients’ overall experience.
  • Participate in team meetings to review new processes, policies, services, and other important information.
  • Interact with other internal departments to ensure the highest standard of patient care.
  • Document and maintain accurate records in multiple systems such as eClinical Works (eCW) the electronic medical record (EMR) of all potential patients that did not book an appointment.
  • Maintains the confidentiality and security of Protected Health Information (PHI) in accordance with WC policies, the Health Insurance Portability and Accountability Act (HIPAA), and other applicable laws and regulations. PHI is a top priority of our organization.
  • Other duties as assigned.
Qualifications

Qualifications:

  • High School Diploma or GED required. Some college preferred.
  • 2+ years in call center, customer service, or sales preferred.
  • Healthcare or medical experience preferred.
  • Navigate multiple software systems such as EMR, MS Outlook, and other computer platforms.
  • Excellent written and verbal communication skills.
  • Medical terminology understanding is a plus.
  • Bilingual is a plus.
