Statement of Purpose: To register patients in an efficient and accurate manner, following hospital policy and procedure. Ensures that accurate patient information is obtained and keyed into the computer system. Receive visitors and patients, ascertain their needs and direct them accordingly. The receptionist will work closely with the staff and physicians, outside doctor's offices, patients, medical staff, insurance companies, and other hospital and URMC employees. Courteously assists patients, patient families, and visitors as needed. Utilizes good communication skills. Demonstrates superior customer service skills and adheres to the JMH Standards of performance. Functions as a calming influence during high volume/high stress periods. According to specified procedures, operate a console telephone switchboard in order to relay incoming, outgoing and inter-office calls. Performs various hospital communications and clerical duties. Acts as hospital receptionist. DUTIES Maintains a clean, safe, orderly work area. Operates and makes minor adjustments/repairs to business machines. Monitors department lobby area. Ensures waiting room area is neat and tidy. Maintains patient confidentiality at all times Accurately works Patient work queues in order to assist JMH registration and practice management locations. Functions as Registration and Insurance Management team for JMH. Works closely with associates to support efforts to maintain efficiency in registration. Is a team player, providing support to registration staff within and outside of the department. Communicates with Patient Access/Business Services Manager of all operation department issues. Works toward process improvements for greater efficiencies. Functions as cashier for customers/employees that wish to pay bills. PBX OPERATOR DUTIES Answers and screens all calls for processing and use of the PA system. Relays calls to the proper department or extension number. Completes call for patients who require assistance transfers and/or hold calls when necessary. Per policy, Pages doctors and authorized personnel over the intercom/PA system. Pages STAT Calls, Fire Alarm, and other emergency pages. Receives disaster information, notifies proper personnel and departments. Signals all clear when notified by person in charge. Stays current with all ancillary department locations to provide accurate directions to our customers. May assist in routine clerical duties and filing for other departments as requested. Receives and records "after hour provider coverage calls/log" and makes call to JMH on-call provider according to schedule with the message from the patient. Provides "on-call sheet" to Nursing Supervisor and Emergency Room. REGISTRATION DUTIES: Interviews patient or relatives to obtain complete accurate patient demographics and insurance information. Obtains and scans orders for outpatient procedures from referring provider. Calls provider offices with discrepancies on scripts/orders and obtains corrected information required for patient account processing. Completes all registration information necessary for assigned insurance, i.e. Medicare Secondary Payer Questionnaire, IM from Medicare on all admissions, VA patients, etc. Ensures all physician orders are compliant: signature, diagnosis, patient name, and patient date of birth. Ensures that medical record assignment is accurate. Collects co-pays at time of service or provides patient with instructions on prompt payment of co-pay. Maintains accurate logging and receipting of all monies collected. Closes Cash Drawer daily. Reconciles cash bag. Completes Cash Bag Audit sheet. Refers to the Patient Financial Counselors when appropriate and/or when requested. Maintains current knowledge and skills of all software required for the department; including but not limited to eRecord, Systoc, and all on-line verification systems. Following policy, collects and distributes patient valuables to and from the safe. Maintains accurate safe and patient valuable logs. Assists with registrations in Emergency Department as needed in absence of ED US and/or during crisis or high census. Assists with Lunch Coverage in other Registration Departments. Scans Medical Records/Charts to HIM utilizing On Base. EDUCATION : High School diploma or equivalency, plus completion of a keyboarding and medical terminology course preferred. Basic computer skills are required, Word, Excel. If no medical terminology, must complete medical terminology course provided by the hospital. EXPERIENCE : Three months in a healthcare field preferred. CONTACTS : Frequent contact with patients, visitors, other departments, physicians, police departments, and outside nursing agencies. PHYSICAL DEMANDS : Sitting, standing, walking, extensive phone and keyboard usage. WORKING CONDITIONS : Normal office; occasional exposure to disagreeable sights, sounds, smells, infections and communicable diseases.
