Job Summary:

As an Overnight Front Desk Attendant, you will be the first point of contact for our guests during overnight hours, playing a key role in providing exceptional customer service and ensuring the safety and security of the hotel. Your primary responsibility will be to create a welcoming environment, handle late check-ins and early departures, conduct night audits, and monitor the property for any safety concerns. This role is critical in maintaining the hotel’s high standards of service, guest satisfaction, and operational excellence even while most of the hotel is at rest.

You will work closely with fellow Front Desk team members, Housekeeping, and hotel Management to ensure that all guest needs are met efficiently and professionally.

Essential Job Duties and Responsibilities

Guest Service & Problem Resolution
  • Greet guests upon arrival and provide a warm, professional check-in experience, even during late-night hours.

  • Efficiently check in guests by verifying reservation details, processing payments, and assigning rooms.

  • Handle guest check-outs and early departures, ensuring all charges are accurately posted and guests depart with a positive impression.

  • Respond promptly and courteously to guest inquiries, requests, and complaints, seeking to resolve issues with empathy and effectiveness.

Communication & Coordination
  • Communicate effectively with other hotel departments (e.g., Housekeeping, Maintenance) by logging and relaying overnight guest needs or maintenance issues to day staff.

  • Handle incoming phone calls and assist with reservations or guest information, ensuring calls are answered promptly.

  • Monitor hotel email or reservation systems and respond or escalate as appropriate.

Administrative & Night Audit Duties
  • Maintain accurate guest records and ensure all guest information is correctly entered into the system.

  • Complete nightly audit processes, reconciling and balancing hotel accounts to ensure accuracy for the following business day.

  • Prepare reports, run end-of-day processes, and handle any discrepancies that arise during the shift.

Security & Safety
  • Conduct regular property walks and security checks to ensure guest and hotel safety, promptly reporting or addressing any suspicious activity.

  • Adhere to all emergency procedures and safety protocols, remaining calm and proactive during incidents.

  • Ensure hotel entrances are secure and access is limited to registered guests during overnight hours.

Team Collaboration
  • Work independently while maintaining open communication with team members and supervisors through logs or shift handovers.

  • Support morning team by preparing accurate reports and a well-organized front desk area for the next shift.

  • Education and/or Experience

  • High School Diploma or equivalent required.

  • Previous experience in hospitality or customer service preferred; overnight or audit experience is a plus.

  • Experience with hotel reservation or property management systems (e.g., InforHMS, Alice, Opera) is an asset.

Skills & Specialized Knowledge
  • Exceptional attention to detail, especially when handling audits, cash reconciliations, and nightly reports.

  • Strong sense of initiative and ability to work independently with minimal supervision during overnight hours.

  • Excellent communication and interpersonal skills to deliver warm hospitality at any hour.

  • Ability to remain calm, composed, and professional in emergency or high-pressure situations.

  • Strong organizational and multitasking abilities.

Physical Demands
  • Ability to sit or stand for extended periods during overnight shifts.

  • Ability to occasionally lift or move up to 20 pounds.

  • Frequent use of hands, fingers, and wrists for typing, processing payments, and handling guest materials
