We are seeking a highly organized and proactive Receptionist/Administrative Support Specialist to join our client's commercial real estate firm located in the heart of Downtown Los Angeles. This is a full-time, on-site role supporting our brokers, management team, and accounting staff. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced professional environment.

Key Responsibilities:

Answer incoming calls and transfer to the appropriate team members.
Maintain and update exclusive listing records, tracking expiration dates.
Create and publish AIR brochures and new listings across various platforms, including The Industrial Multiple, the company website, LoopNet, and CoStar.
Coordinate signage installations and manage sign requests.
Order credit reports and process incoming and outgoing mail, including FedEx and certified mail.
Maintain the postage meter and ensure timely mail drop-off.
Manage filing systems for management, building, and map files.
Monitor and stock office equipment, including printers, fax machines, and copiers.
Keep the Emergency Tenant Contact List up to date.
Assist brokers with administrative tasks, including drafting letters, preparing reports, and providing project support.
Perform data entry for accounts receivable and wire/ACH approvals in Yardi and rent roll logs.
Monitor tenant rent and invoice payments, follow up on delinquencies, and issue commission statements.
Track and maintain tenant liability insurance records.
Coordinate HVAC service requests for managed properties.
Record electric usage for AB802 Benchmarking.
Provide support for telephone and internet outages and coordinate with technical support.
Manage copier support renewals and maintenance.
Report graffiti, illegal parking, or bulky item issues to South Park, the Fashion District, or appropriate city services.
Qualifications:

Prior administrative or real estate office experience preferred.
Strong verbal and written communication skills.
Proficient in Microsoft Office and comfortable learning new software (Yardi experience is a plus).
Excellent organizational skills with the ability to manage multiple tasks.
Reliable, punctual, and comfortable working independently.
Work Environment:
This is an in-office role located in a professional real estate setting. The role supports multiple team members and is central to ensuring smooth office operations.
